About the role
As part of the IT function, the Business Systems Analyst is a critical contributor responsible for owning and optimising our internal enterprise application landscape. Your primary focus will be enhancing operational efficiency by ensuring our business systems "talk" to each other effectively. You will bridge the gap between enabling functions (HR, Finance) and technical execution, championing process automation and managing critical vendor relationships to ensure we maximise value from our software investments.
Key Responsibilities
- Translate high-level business requirements from HR, Finance and other functions into concrete technical specifications and system configurations.
- Lead internal discovery to understand operational bottlenecks, ensuring we don’t just "digitise bad processes" but actively optimise workflows to solve real user problems.
- Lead on execution of acquiring new systems and software and implementing them into the enterprise.
- Bring external lens for evolving technologies and solutions that support delivering increased productivity through automations.
- Act as the technical lead for system connectivity, designing and maintaining robust integrations (APIs/middleware) between core platforms.
- Monitor data flow and synchronization between systems to ensure a "single source of truth" across the organisation.
- Work closely with delivery leads or external partners to ensure seamless transitions during system upgrades or new implementations, managing dependencies and risks.
- Monitor and manage third-party vendor relationships, acting as the primary point of contact for support issues, contract renewals, and delivering feature enhancement requests.
- Define and monitor Key Performance Indicators (KPIs) and Service Level Agreements (SLAs) with vendors to ensure system uptime and support quality meets business needs.
- Conduct analysis on vendor roadmaps to ensure we are utilising new features and getting the best return on investment (ROI).
- Effectively communicate system changes, downtime, and improvements to stakeholders across Operations, HR, and Finance, ensuring expectations are aligned.
- Influence without authority, guiding non-technical stakeholders on best practices and articulating the "why" behind configuration decisions vs. customisations.
- Create and maintain clear documentation and user guides to facilitate successful adoption of systems.
Required Skills
- An analytical mindset with the ability to deliver system solutions that are cost-effective and pragmatic.
- Strong customer centric approach, with an ability to challenge and prioritise differing needs, requirements and timelines.
- Highly competent in process mapping and using data to diagnose workflow issues before implementing technical fixes.
- Superior written and verbal communication skills, with the ability to translate technical jargon for business stakeholders in HR and Finance.
- Strong understanding of API concepts, data mapping, and system architecture.
- Execution skills in sourcing and integrating systems including business readiness.
- Skills in negotiating with vendors and holding third-party providers accountable to standards.
Experience
- Proven experience in Business Systems Analysis or Systems Administration, successfully managing internal enterprise tools (ERP, HRIS, or Finance systems).
- Hands‑on experience with system integrations, specifically connecting disparate SaaS platforms (e.g., via REST APIs, iPaaS tools, or flat-file transfers).
- Experience working in cross-functional environments, balancing the needs of different departments (e.g., Finance vs. HR).
- Strong background in requirements gathering, solution design, and user acceptance testing (UAT).
- Deep, demonstrable knowledge of internal platforms and systems.
- Experience with data visualisation tools (e.g., PowerBI) to create reporting dashboards for internal stakeholders.
- Knowledge of GDPR and data privacy standards regarding employee and financial data.
