We are seeking a highly capable Executive Assistant to two Co-Founders who will also take ownership of Office Management and day-to-day Finance Operations. This is a broad, hands-on role at the centre of the business, ideal for someone who enjoys variety, responsibility, and being a trusted operator across multiple functions.
This role combines executive support, office operations, and transactional finance. It is suited to a practical, highly organised self-starter who is comfortable wearing multiple hats and working closely with founders and external accountants who will look after tax filings, payroll and year end accounts.
Contract: Permanent
Remuneration: £30,000 - £40,000 depending on experience + bonus scheme, salaries are reviewed every 6 months
Location: Head office in Shoreditch
Working: 3 days per week in the office

The Role:
- Executive Assistant to Co-Founders: Provide high-level, day-to-day support to two Co-Founders, anticipating needs and enabling focus on strategic priorities. Manage complex calendars, scheduling internal and external meetings across time zones. Act as a gatekeeper for inboxes and communications, prioritising, drafting responses, and flagging urgent matters. Prepare meeting agendas, briefing notes, presentations, and follow-up actions. Coordinate travel arrangements, itineraries, and expenses. Support preparation for board, investor, and key external meetings. Handle confidential information with discretion and professionalism.
- Office Management: Own the smooth day-to-day running of the office. Manage office supplies, vendors, facilities, and service providers. Act as the main point of contact for landlords, building management, and cleaners. Track office-related budgets and expenses. Ensure the office environment is organised, welcoming, and functional. Support onboarding and offboarding for new starters & leavers.
- Finance Assistant & Bookkeeping: Manage day-to-day bookkeeping using Xero, ensuring accurate and up-to-date records. Own Accounts Payable (AP) and Accounts Receivable (AR) processes. Raise sales invoices, manage supplier invoices, and run payment cycles. Reconcile bank accounts, credit cards, and process expenses.
- Process & Operations Support: Help document and improve administrative and finance processes. Identify inefficiencies and suggest practical improvements. Support internal events, team meetings, and company offsites as needed.
The Person:
- Proven experience as an Executive Assistant, Office Manager, Finance Assistant, or similar hybrid role.
- Experience supporting founders or senior leadership.
- Strong organisational skills with excellent attention to detail.
- Ability to manage multiple priorities and work independently.
- Strong written and verbal communication skills.
- Highly organised, proactive, and dependable.
- Comfortable operating across multiple functions.
- Discreet and trusted with sensitive information.
- Practical, hands-on, and solutions-focused.
- Willing to grow and adapt as the business evolves.
- Experience working with Xero or similar accounting software and external accountants (desired).
- Experience in a startup, scale-up, or small business environment (desired).

- Full-time Monday–Friday, with hybrid working options.
