About the Role

Locogen is a group of renewable energy companies headquartered in Edinburgh. Our vision is a world powered 100% by renewables, where everyone has access to affordable, sustainable energy and clean air.

The role will be responsible for maintaining and supporting Locogen’s key business systems and IT infrastructure during a period of maternity cover across the entire Locogen Group. It combines administration of key operational platforms (HubSpot, Kantata, Microsoft 365) with delivery of IT support services to internal users.

Responsibilities

Business System Management / Stewardship

  • Oversee day‑to‑day operation of business systems (e.g., Kantata, HubSpot, SharePoint) ensuring correct usage, data quality, and alignment with business processes.
  • Support initiatives in monitoring system adoption and performance, identifying gaps, training needs, and opportunities to improve efficiency or consistency.
  • Support onboarding and offboarding processes across systems (including initial training), maintaining accurate permissions and records.

System Administration

  • Manage user accounts, permissions, and installations, ensuring staff have necessary devices, hardware and software.
  • Support the user system lifecycle through initial onboarding, familiarisation, hyper‑care and offboarding for Locogen employees across core business systems and applications.
  • Provide training guides, support materials and help‑desk services to help users make the most of available tools and applications.
  • Administer Microsoft 365 as a Global Administrator, overseeing licensing, security policies, compliance settings, and tenant‑wide configuration.
  • Manage Entra ID / Identity configuration, including user provisioning, security groups, conditional access, MFA and identity governance.
  • Maintain documentation of system configurations, workflows, standards and procedures.
  • Support system upgrades, integrations and enhancements, coordinating with vendors where required.

IT Support and Maintenance

  • Act as first point of contact for internal IT support, providing timely and professional assistance to staff across all locations.
  • Oversee all business IT infrastructure (printers, switches, routers, servers, etc.) ensuring regular maintenance and operations, minimising disruption and down‑time.
  • Support procurement, user handover, inventory and disposal of company IT hardware and software (laptops, servers, mobile devices, printers, etc.).
  • Coordinate external third‑party resources (e.g., Microsys, Edincomm) to support resolving IT issues across the business.
  • Support cybersecurity best practice by ensuring compliance with Locogen’s IT and data protection policies.

Key Skills and Experience We Are Looking For

Must-have

  • Demonstrated experience as a Microsoft 365 Global Administrator, including administration of Users, Licenses, Teams, SharePoint, Outlook/Exchange and Entra ID/Identity management.
  • Experience administering business systems (e.g., HubSpot, Kantata or equivalent CRMs / project management platforms).
  • Experience providing IT support to end users within a professional environment.
  • Communication and interpersonal skills able to support both technical and non‑technical users.
  • Ability to manage multiple priorities and provide responsive user support.

Nice-to-have

  • Experience supporting consultancy or professional services teams.
  • Knowledge of automation or integration tools (e.g., Power Automate, Zapier).
  • Awareness of information security and GDPR best practice.
  • French‑speaking would be helpful but is not essential.
  • Data handling and reporting skills, including familiarity with dashboards and exports.

Benefits

  • Flexible working hours: core hours are 10am–4pm; you can make up weekly hours as needed.
  • 25 days holiday, plus 5 flexible bank holidays and 4 company closure days (25–26 Dec, 1–2 Jan).
  • Work from anywhere up to 25 days a year.
  • Ongoing professional and personal development opportunities (training, memberships and education costs covered).
  • Private health insurance with vitality (includes perks for steps).
  • Life assurance, critical illness and income protection options.
  • Pension at 10% (5% employee/5% employer contribution split).
  • Enhanced maternity and paternity policies.
  • Cycle to Work & EV Car Scheme.
  • Dog‑friendly office.
