As Executive Assistant to the CEO, you will provide high-level, proactive support and act as a trusted right hand. This role requires an experienced, confident, and highly organised individual who can manage complex priorities, exercise sound judgement, and operate with discretion in a fast-paced environment. You will play a key role in ensuring effective communication across the business, supporting business development activity, and enabling the smooth running of executive-level operations. Working closely with the CEO and senior management, you will help ensure priorities are managed efficiently and that information flows seamlessly across the organisation.

Key Responsibilities

  • Provide comprehensive executive support to the CEO, including proactive diary management, scheduling meetings, and prioritising daily tasks.
  • Manage the CEO’s inbox, ensuring non-client emails are responded to promptly and follow-up correspondence is drafted and sent as required.
  • Act as a central point of contact for the senior management team, employees, clients, and external suppliers, ensuring clear and effective communication.
  • Screen incoming phone calls on behalf of the CEO, using judgement to prioritise and redirect enquiries appropriately.
  • Ensure information is communicated across the business in a timely, accurate, and appropriate manner.
  • Use the CRM system proactively to support client relationship management and development.
  • Track and coordinate business development activity, ensuring follow-up actions are diarised, monitored, and completed.
  • Organise networking events and meetings, including creating meeting briefing notes, booking venues, completing purchase order forms, arranging travel and accommodation where required.
  • Record time and expenses accurately in line with internal processes.
  • Prepare, draft, amend, and format correspondence, documents, presentations, and reports, ensuring a high standard of accuracy and presentation.
  • Support ad hoc projects and initiatives, contributing to both operational and strategic activity.
  • Handle sensitive and confidential information with discretion and professionalism at all times.
  • Uphold the organisation’s values, culture, and professional standards in all interactions.

Skills and Experience Required

  • Proven experience as an Executive Assistant or Senior Personal Assistant supporting a CEO or senior management.
  • Demonstrated ability to manage complex diaries, inboxes, and competing priorities with minimal supervision.
  • Strong organisational skills with exceptional attention to detail.
  • Excellent written and verbal communication skills, including drafting correspondence and materials on behalf of senior executives.
  • High level of discretion and integrity, with experience handling confidential and sensitive information.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and confident using CRM systems.
  • Proactive, solutions-focused mindset with the ability to anticipate needs and use sound judgement.
  • Strong interpersonal skills and the confidence to engage effectively with stakeholders at all levels.
  • Flexible and adaptable approach, able to balance planned work with ad hoc and time-sensitive demands.
