Purpose of role
We are seeking a highly organised and proactive Administration Assistant to support our Groundworks and Civil Engineering team.
This role is central to the smooth running of site operations and commercial support functions, ensuring key administrative, coordination, and reporting tasks are managed accurately and efficiently.
- Primary Responsibilities
- Help manage hotel and accommodation bookings for site teams
- Keep HR & Payroll updated with absence reporting and records across operational teams
- Compile and distribute meeting discussion notes and action logs
- Manage and organise HSEQ site files and compliance documentation
- Coordinate labour document distribution and workforce administration
- Work with HR to provide recruitment administration support including onboarding coordination
- Distribute and track Toolbox Talk (TBT) records and attendance
- Support commercial team with tarmac and bespoke drainage quotations
- Assist in preparation and control of O&M manuals and handover documentation
- Maintain and update KPI dashboards and project data records
- Provide general administrative support to contracts and site management teams
Qualifications and skills
- Strong administrative and organisational skills
- Experience in construction, civil engineering, or a busy operational environment (preferred)
- Confident managing multiple priorities across several projects
- High attention to detail, particularly with data and compliance documentation
- Strong communication skills and ability to liaise with site and office teams
- Proficient in Microsoft Office (Excel, Word, Outlook)
- Proactive, reliable, and able to work independently when required
- Salary dependent on candidate level & experience
