We are looking for a friendly and helpful Facilities Receptionist/Administrator to work within the Facilities Management Service at Lancashire County Council. Your main responsibilities will include providing a welcoming front‑of‑house reception, delivering excellent customer service, and delivering general administration and office support to the Operational Facilities Manager and the wider service management teams.
Responsibilities
- Serve as the first point of contact for visitors, staff and service users at two main reception areas.
- Deliver a professional and courteous front‑of‑house experience, answering enquiries, providing directions and guiding individuals to the appropriate personnel or location.
- Manage day‑to‑day reception duties, including controlling access, booking appointments and ensuring reception areas remain clean, organised and compliant.
- Coordinate with other services to maintain high standards of the facilities, such as boiler services, alarm testing and booking maintenance contractors.
- Maintain accurate records using Excel and other internal systems, and book meeting rooms as required.
- Work on a rota basis, alternating shifts of 8:30–4:30 and 9:00–5:00, and ensure safeguarding and company procedures are followed by working in pairs where possible.
- Provide support to your teammates, contributing to a collaborative and inclusive workplace culture.
Qualifications & Skills
- Empathy and resilience – ability to greet service users warmly and handle challenging situations with sensitivity.
- Excellent communication skills, both verbal and written, in an English‑speaking environment.
- Previous experience in customer service or a receptionist role is desirable.
- Computer literate with proficiency in Microsoft Excel; willingness to learn tailored internal systems.
- Strong organisational and time‑management abilities to handle multiple tasks simultaneously.
