Full Duties And Responsibilities
- Perform a wide range of administrative and office support activities for the department and managers or supervisors to facilitate efficient operations.
- Answer, screen, and transfer inbound phone calls, taking messages when necessary.
- Greet and assist visitors, ensuring they sign in and out and providing necessary information or assistance.
- Sort and distribute incoming mail and prepare outgoing mail for pickup or courier.
- Schedule and coordinate meetings, appointments, and travel arrangements for managers or supervisors.
- Maintain electronic and hard copy filing systems, ensuring documents are organized and easily accessible.
- Perform data entry tasks, including updating and maintaining databases, spreadsheets, and other records.
- Assist with basic bookkeeping tasks using QuickBooks or similar software.
- Order office supplies and maintain inventory levels to ensure adequate stock is available.
Skills & Personal Qualities
- Strong IT skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and data management systems (e.g., SIMS, Arbor, etc.).
- Ability to analyse and interpret data accurately, identifying trends and patterns.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
