LMH seeks to appoint a full time, 3-year fixed term, Access and Outreach Assistant to support the administration of the College’s rich and varied schools outreach programme including our new sustained contact programme. We are looking for a highly organised individual with strong skills in administration and communication. Access and Outreach activity is a strategically important area of the College’s work. The aim of LMH’s outreach activity is to ensure that talented students – especially from groups that are currently under-represented within the College and University community – are identified, inspired and supported to make successful applications to study at Oxford, in particular at LMH.

LMH delivers a range of outreach and access activities including in-person events with students, schools and colleges. A new sustained contact programme, The Wayfinder Programme, will be launched this coming year. The Access and Outreach Assistant will be based in the College’s Academic Office. The Outreach team is led by the Head of Access and Admissions Support and currently also consists of an Outreach Programme Manager and an Access and Outreach Officer. The post-holder will be supporting the administration and organisation of our schools outreach and widening access initiatives. This will primarily include administrative support for The Wayfinder Programme, but will also include administrative support for other events including school visits, five large Subject Taster Days, the College’s large open days, an offer holder welcome day, and general communication with schools and prospective applicants.

Main Tasks

  • Supporting the administration and organisation of the College’s Sustained Contact Programme for Key Stage 4 students, including moderation of posts on the mentoring platform, monitoring and encouraging user engagement, answering mentor questions and recording keeping;
  • Producing or formatting resources such as information packs, academic resources, timetables, programme advertisement using Canva;
  • Supporting administration and logistics of on-site school visits, subject taster days, open days, and other events, for example, by monitoring and processing event applications, and booking rooms and catering;
  • Supporting the administration and organisation of outbound school visits, for example, by booking travel and accommodation;
  • Providing administrative support for the recruitment and coordination of casual outreach staff (e.g. including student ambassadors/helpers and mentors), including: processing applications, timetabling interviews and training sessions, responding to email enquiries, administration of payments in liaison with the accounts team;
  • General management of the joint Outreach email inbox, including triaging of requests and responding to enquiries;
  • Liaising with schools and event attendees;
  • Liaising with other teams in the College and across the University involved in event organisation and delivery;
  • Maintaining a list of school contacts for advertising College outreach activities;
  • Purchasing travel tickets and arranging reimbursement for programme participants, student ambassadors and team members;
  • Financial record keeping;
  • Purchasing and monitoring stock of merchandise and other team supplies;
  • Data entry and data validation. This includes student personal information and event registration data and using the Higher Education Access Tracker (HEAT) database;
  • Providing administrative support to the College’s Access Working Group including scheduling meetings, distribution of agendas and papers and recording and distributing minutes;
  • Complying with child-protection, risk-assessment and other legal requirements in relation to all events, volunteers and participants;
  • Providing logistical support for in-person delivery of inbound school visits, outbound school visits, Subject Taster Days and other events;
  • Supporting with the administration of the Undergraduate Admissions interviews during November and December;
  • Contributing to the general workings of the Academic Office, for example, supporting academic recruitment, college collections and registration of freshers.

Person Specification

Essential

  • A good standard of education, at least to A Level
  • Excellent organisational skills and the ability to work independently;
  • Ability to work well and solve problems under pressure;
  • High levels of accuracy and attention to detail;
  • Ability to work effectively as part of a busy team;
  • Excellent communication skills (oral, written);
  • Excellent interpersonal skills and the ability to work with a range of colleagues, students, and external organisations;
  • Excellent judgement and the ability to know when to use initiative and when to seek advice;
  • Excellent and up-to-date IT skills, with a good knowledge of MS Office, in particular Outlook, Excel, PowerPoint and Word;
  • An awareness of issues of data privacy, security and legal requirements for data protection (e.g. GDPR and CMA guidelines) or the ability to learn;
  • An awareness of child safeguarding policy and procedures or the ability to learn;
  • An interest in higher education and an appreciation of the challenges of working in an academic environment;

Desirable

  • Educated to degree level;
  • Experience of working with young people;
  • Knowledge of the UK education system and a keen interest in access and outreach issues and progression routes to higher education;
  • Knowledge and experience of the University of Oxford or its colleges.

Terms and Conditions

The salary will be £31,000 per annum (negotiable) for a 37.5-hour week. This role is fixed term for 3 years. The Academic Office has a hybrid approach to working. During busy event delivery periods (usually school term time), Outreach colleagues are expected to work two core team days in the office, as well as being onsite for event delivery where required. Outside of these periods, team members may work more flexibly in agreement with their manager. This policy is reviewed termly. This role will include some occasional evening and weekend work to support the administration of outreach events and online mentoring programme. The successful appointee will also be expected to assist the Academic Office team during the busy Admissions period in December. Therefore, some flexibility is expected to cope with fluctuations in workload, unexpected events and travel. For extended periods of out-of-hours working time off in lieu is granted. There will be an initial probationary period of four months. Applicants must be eligible to work in the UK.
