The Workplace Manager will be responsible for a variety of functions critical to the development of the Company and the smooth running of our HQ in London. Detail and flexibility are key, you will need to draw on your multi-tasking and organizational abilities in this hands-on, facilities and hospitality focused, client-facing, varied role, with no two days the same. There will be exciting opportunities to support on Workplace based projects in London and ensuring the success of our Front-of-House function.
Office based Monday-Friday in West London, the position will report into the Head of Property & Workplace.
Main Responsibilities:- Responsible for the smooth running of the office environment and aesthetics
- Liaising with building security and cleaning
- Supporting with office layout, physical arrangement of furniture and desk moves
- Handling the activation of access passes via Paxton including reporting
- Logs of supplies including stationery, office consumables, vendor review
- Arranging business travel for the C-Suite team and Secondment accommodation for relocating employees through our Travel Partners
- Manage credit card statements and monthly expense report through Concur
- Manage company taxi accounts
- Be an LMAX Ambassador / Reception Support / Meeting Room / Town Hall management and set up / New Employee Onboarding
- Manage our dedicated receptionist, including covering reception during breaks, periods of absence and annual leave
- Overseeing and assisting reception with Goods-in/Goods-out (postal duties and couriers) manual handling of boxes.
- Proactive-Reactive: Organizing and implementing planned preventative maintenance and dealing with reactive works through our dedicated contractors.
- Health & Safety: Maintaining and organising first aider/fire warden training and ensuring certificates are up-to-date
- Policy: Reviewing and updating Office and Facilities policies and ensuring they are observed
- Social: Arranging team functions, including lunches and team building exercises
- Confident: Communicating and collaborating with different teams
