Contract: 9-12 months maternity cover

Key Responsibilities:

  • Assist with day-to-day HR administration including recruitment for both regulated and non-regulated positions.
  • On-boarding and off-boarding of staff.
  • Ensure HR processes are adhered to, including reminders for probation period reviews and employment reference requests.
  • Maintain up-to-date and organised personnel files (physical and digital) for new and existing staff.
  • Process staff benefits and liaise with the Bank’s benefits broker.
  • Handle visa processing for secondees.
  • Provide assistance and support to Branch staff with HR systems and first line HR advice.
  • Organise training and other learning & development related plans.
  • Manage annual performance management and staff surveys, as well as wellbeing and engagement activities.
  • Assist with the production of MI reports for HR related data.
  • Ensure HR letters are appropriate and accurate.
  • Ensure compliance with UK immigration laws and prevent illegal working systems.
  • Assist with data entry for monthly payroll and ensure timely processing of staff claims and deductions.
  • Provide general administrative support to the Head of HR and Administration.
  • Ensure compliance with Health & Safety rules.
  • Support Branch operations as needed and perform any other tasks assigned by the General Manager.
  • Ensure all HR data is accurately labelled and managed in accordance with GDPR and internal policies.

Data Integrity and Privacy Compliance:

  • Ensure all data worked on or shared with internal/external clients are accurate and maintained according to company’s data quality standards.
  • Handle all data in alignment with GDPR principles.
  • Escalate any suspected data breaches or privacy issues promptly.
  • Discuss any data sharing requests with HOD/DPO for prior authorisation.

Regulatory Compliance Duties:

  • Comply with applicable individual conduct rules, FCA Conduct Rules, and Bank policies.
  • Adhere to high standards of corporate governance and behaviours.
  • Work with Audit teams and assist with required information.

Training and Learning & Development Duties:

  • Complete all mandatory training set by the Bank within deadlines.
  • Work with HOD to identify relevant training for the role.

Performance Management Duties:

  • Accurately report and log absence in HR systems.
  • Complete assigned annual and ad-hoc performance reviews.
  • Report any wrongdoing or work-related concerns to the HOD, GM, or HR.

Qualifications:

  • Diploma, Bachelor’s or Master’s degree or professional qualification in HR, Psychology, Business Administration, or Business Management; CIPD L3 preferred but not essential.
  • Professional Qualification and/or Regulatory requirements preferably accredited by CIPD.
  • At least 2 years exposure working within HR and administration.
  • Familiarity with HR systems, databases, and tools.
  • Basic understanding of payroll data and statutory requirements.
  • Proficient in MS Office.
