We have the most outstanding role for a candidate who is happy to work 22 hours a week, either over four days or 3 daily days remotely every week, with a requirement to work 1 day a month onsite in London (City). The role pays £37-42K pro rata. Working with a group of professionals who are charming and high performing and want a capable EA/Ops/project person to assist with a variety of tasks in this outstanding boutique communications agency. This company is passionate about healthcare and has a niche business with a wonderful reputation in the marketplace and its clients are global.
They are looking for a candidate who can offer all-rounder abilities and where no job is too small, and who will be equally as passionate about the goals of the business and will be proud to work in this collaborative and nurturing team. This role requires balancing support for client-facing teams with diverse project management on client accounts and operational support for the entire team, managing logistics and helping achieve business objectives. The ideal candidate will have a strong background in project management and excellent communication skills.
Key Responsibilities- Operations Management: Help the team operate effectively and efficiently, leading coordination of team touchpoints, both day-to-day work and team away days and socials, and training events. Manage and support document storage and filing (client materials, company materials). Manage Hot Desk days (including research team days and team away days). Manage the team calendar (training, away days, making sure holidays logged). Schedule and provide agenda/minutes for bi-weekly Operations Meeting. Identify training providers and set up training. Schedule team lunch and learns, and mindfulness sessions. Client and team gifting (birthday flowers, one-off celebrations, holiday gifts). Coordinate travel with the travel agency for team trips.
- Stay up to date with team and project workload, offering support during times of increased workflow: Attend weekly team meetings: Monday morning meeting, Get Stuff Done and follow-up on key operational actions.
- Support the team with operational needs, where needed: Manage design capacity needs and workflow. Be the point person for key outsourced services (IT, and Compliance). Provide support for management of company subscriptions (design and research software, databases, etc.) and licenses (copyright, research, other). Handle IT needs and data compliance systems for the team, in collaboration with an IT consultant.
- Support the team with marketing activities: Attend bi-weekly Marketing Meeting. Edit and post on LinkedIn and other channels. Support awards entries and attendance. Support conference submissions and attendance.
- Budgeting and Finance (assisting Financial Controller): Assist with raising purchase orders (POs) and processing invoices using Xero, and set up and monitor timesheets.
- Project management: Client-Facing Work: Work as a junior project manager on client work where appropriate and possible. Work closely with client teams to ensure projects are executed according to plan. Coordinate project activities, monitor progress, and address any issues that may arise, providing weekly operational support. Assist in maintaining positive client relationships by providing regular project updates, addressing client enquiries, and communicating project progress, milestones, and updates to clients and team members. Maintain project documentation, including project plans, status reports, and meeting minutes.

- Bachelor’s degree in communications, Public Health, Health Education, or a related field is a plus, but is not essential.
This role offers a variety of tasks and the team is extremely supportive and very proud of the work they produce. You should have excellent EA skills and part of the role will involve organising senior leadership diaries, arranging travel and all manner of interesting and varied admin tasks. This is the role for all-rounders who really enjoy admin and are happy to help out any team member at the drop of a hat and are confident with the MS Office suite and are tech savvy and highly organised.
