Key Responsibilities:
- Assist with day-to-day HR administration including recruitment for both regulated and non-regulated positions.
- On-boarding and off-boarding of staff.
- Ensure HR processes are adhered to, including reminders for probation period reviews and employment reference requests.
- Maintain up-to-date and organised personnel files (physical and digital) for new and existing staff.
- Process staff benefits and liaise with the Bank’s benefits broker.
- Handle visa processing for secondees.
- Provide assistance and support to Branch staff with HR systems and first-line HR advice.
- Organise training and other learning and development related plans.
- Conduct annual performance management and staff surveys, as well as wellbeing and engagement activities.
- Assist with the production of management information reports for HR-related data.
- Ensure HR letters are appropriate and accurate, referring to standard operating procedures and applicable policies.
- Ensure compliance with UK immigration laws and prevent illegal working systems.
- Assist with data entry for monthly payroll and ensure timely processing of all staff claims and deductions.
- Provide general administrative support to the Head of HR and Administration.
- Ensure compliance with Health & Safety rules.
- Support Branch operations as needed and perform any other tasks assigned by the General Manager.
- Ensure all HR data is accurately labelled and managed in accordance with GDPR and internal policies.
Data Integrity and Privacy Compliance:
- Ensure all data worked on or shared with internal/external clients is accurate, complete, and maintained according to company data quality standards.
- Handle all data in strict alignment with GDPR principles.
- Escalate any suspected data breaches or privacy issues to the Head of Department promptly.
- Discuss any data sharing requests with the Head of Department/Data Protection Officer for prior authorisation.
Regulatory Compliance Duties:
- Comply with all applicable individual conduct rules, including FCA Conduct Rules, Regulations, Bank policies, and procedures.
- Adhere to the highest standards of corporate governance and behaviours applicable to a bank regulated by the PRA and FCA.
- Display honesty, professionalism, respect, openness, integrity, competence, capability, and financial soundness.
- Work with audit teams and assist with all required information.
Training and Learning & Development Duties:
- Complete all mandatory training set by the Bank within deadlines.
- Work with the Head of Department to identify relevant training for the role.
Performance Management Duties:
- Accurately report and log absence in HR systems to meet required standards of conduct and performance.
- Complete assigned annual and ad-hoc performance reviews in line with Bank procedures.
- Report any wrongdoing or work-related concerns to the Head of Department, General Manager, or HR as appropriate.
Qualifications:
- Diploma, Bachelor’s, or Master’s degree or professional qualification in a relevant discipline (HR/Psychology/Business Administration/Business Management) or CIPD Level 3 (preferred but not essential).
- Professional Qualification and/or Regulatory, Licensing requirements preferably accredited by the Chartered Institute of Personnel and Development (CIPD).
- At least 2 years of experience working within HR and administration.
- Familiarity with HR systems, databases, and tools.
- Basic understanding of payroll data and calculations.
- Basic understanding of statutory requirements.
- Proficient in MS Office.
