We have a superb opportunity to join a boutique finance house in the West End working 4 days onsite and 1 day from home (Friday). Hours are 8 - 5 daily, with flexibility to work a little later as the business requires.
Working within this highly successful and dynamic company, you will support the Managing Partner and CFO as EA and additionally provide office management support for this boutique business, allowing for the smooth running of the London office. The role requires an exceptional, trusted Executive Assistant managing complex priorities and anticipating needs in a fast-paced environment and you will report directly into the Managing Partner, working closely with him as well as the CFO on a day-to-day basis. The successful candidate will be working alongside the HR Manager to ensure smooth and functional office activities.
Executive Assistant duties: 60%- Provide high level proactive EA support to the Managing Partner and CFO.
- Manage a highly complex, dynamic diary across multiple time zones for MP and CFO.
- Coordinate all aspects of domestic and international travel, including flights, accommodation, visas, and itineraries.
- General administrative support - preparing documents for meetings and booking meeting rooms.
- Organise conferences/Forums/Events for the Managing Partner & CFO.
- Support ad-hoc strategic and operational tasks as delegated by the Managing Partner & CFO.
- Personal work for the Managing Partner: around 15%.
- Day-to-day running of the London office.
- Ensure a professional, organised, and welcoming office environment.
- Manage relationships with key suppliers and service providers (cleaning, catering, building management).
- Coordinate office budgets, expenses, and purchase orders in collaboration with Finance.
- Front of house management - meeting and greeting guests, answering the phones and ensuring meeting rooms are presentable.
- Manage office policies and procedures.
- Ensure health & safety and compliance standards are met.
- Responsible for organising and maintaining supplies of office equipment, stationery, catering supplies.
- Experience as an Executive Assistant supporting a Managing Partner / CEO / Founder.
- Proven experience managing complex diaries and senior stakeholder relationships.
- Strong experience preparing high-quality PowerPoint presentations and board materials.
- Exceptional organisational and prioritisation skills.
- High level of professionalism, discretion, and judgement.
- Ability to remain calm and effective under pressure.
- Excellent written and verbal communication skills.
- Advanced proficiency in Microsoft Office.
