Main duties of the job include acting as a central point of contact for patients, distributing information, messages and enquiries for the clinical team, and liaising with multidisciplinary team members and external agencies such as secondary care and community service providers.
About us: Our practice comprises two Doctors, two Advanced Nurse Practitioners, two Practice Nurses and other supporting Clinical staff including Health Care Assistants and Phlebotomists. District Nurses, Health Visitors, Midwives and other healthcare professionals also work from our premises. We operate from a purpose-built medical centre on the outskirts of Newport City Centre. There is good access for the disabled to all of our consultation rooms, with a designated parking bay adjacent to the surgery entrance and a ramp and wide doors to allow for wheelchair access. We aim to provide high quality, timely and efficient care to each patient, taking into account individual health needs and fully utilising the skills of our multidisciplinary team.
Job responsibilities include:
- Maintain and monitor practice appointment system
- Process personal, telephone and e-requests for appointments
- Answer incoming phone calls, dealing with the caller's request appropriately
- Signpost patients to the correct service
- Initiate contact with and respond to requests from patients, team members and external agencies
- Data entry of new and temporary registrations and relevant patient information as requested
- Input data as necessary onto patients' healthcare records
- Direct requests for information to relevant team members (e.g., SAR, DVLA forms, insurance/solicitors letters)
- Manage all queries as necessary in an efficient manner
- Carry out system searches as requested
- Support all clinical staff with general tasks as required
- Photocopy documentation as required
- Maintain a clean, tidy and effective working area
- Monitor and maintain the reception area and notice boards
In addition to the core responsibilities, the Receptionist may be requested to:
- Action incoming emails and correspondence as necessary
- Complete opening and closing procedures in accordance with the rota
- Partake in audit as directed by the audit lead
- Support admin team, providing cover during absences
- Scan patient-related documents and attach scanned documents to patients' healthcare records
The duties listed above are not exhaustive; you will be expected to complete any reasonable request from the management team.
We are looking for 18 - 20 hours per week worked Monday to Friday between 08:00 and 18:30 on a rota basis.
