Role Overview
Our client, a reputable and growing international law firm, is looking to recruit an E-Billing & Billing Assistant. This is a new addition to the E-Billing & Billing Team. In this position, you will play a key role in supporting the eBilling function and assisting with the billing process. This is a great opportunity to grow your skills in eBilling and Billing, build strong relationships with fee earners and business services teams, and contribute significantly to the firm’s Working Capital team.
Key Responsibilities
- Assist with the eBilling function, ensuring smooth integration with client eBilling portals.
- Provide support to the Billing function throughout the month as needed.
- Handle client onboarding requests, regularly monitoring and updating the Outside Counsel Guidelines in the Aderant rules database.
- Collaborate with the Risk, Legal, and Credit Control teams to ensure efficient tracking of eBilling data from inception and smooth process flows.
- Work directly with client eBilling teams/providers to ensure all required information is obtained and keep clients and fee earners informed about the onboarding progress.
- Perform weekly reconciliation of eBilling clients, ensuring timely uploads and resolution of any issues.
- Assist with eBilling Hub processes, ensuring that client guidelines and rates are updated in the system.
- Monitor the eBilling inbox, ensuring all queries are addressed within 24 hours.
- Coordinate with the disbursements team to ensure that eBilled entries are passed to them efficiently and are available for upload when needed.
- Upload invoices to client eBilling portals promptly and efficiently.
Required Skills & Experience
- Over 2 years of experience in a legal finance department.
- Proficient in Aderant Expert or similar financial systems.
- Experienced in using eBilling Hub or equivalent platforms.
- Expertise in bill posting, crediting, and handling reversals.
- Familiar with time and disbursement transfers, write-offs, and bill amendments.
- In-depth knowledge of eBilling processes.
- Technical expertise in LEDES format.
- Excellent communication skills essential for this role.
- Solid understanding of the Solicitors’ Accounting Rules.
- Strong knowledge of VAT.
- Advanced Excel skills.
- Capable of working effectively under pressure.
