Facilitate the efficient operation of the Special Services Department and provide clerical services to professional staff. Perform routine secretarial/receptionist duties as assigned by the Director.
Qualifications:
- Education/Certification: High school diploma or GED
- Special Knowledge/Skills:
- Proficient word processing and file maintenance skills
- Effective organizational, communication, and interpersonal skills
- Ability to use personal computer and software to develop spreadsheets and databases, and do word processing
- Ability to handle day-to-day disruptions and requirements as necessary, with a positive attitude.
- Experience: Two years of secretarial experience, preferably in a public education environment
Major Responsibilities and Duties:
- Maintain professional decorum and protect the confidentiality of all staff, parents, and students.
- Facilitate a friendly, comfortable working environment.
- Assist with preparing forms and reports for the department staff using personal computers as needed.
- SHARS/Medicaid Billing/RMTS SS program manager for SuccessEd, MSB XLogs, and N2Y Office Manager.
- Work closely with the district business/finance department to ensure accounting accuracy for the SS department.
- Assist in preparing and monitoring local, state, and federal budgets.
- Prepare purchase orders (supplies, protocol, continuing education, etc.) for SS staff/Sp Ed teachers/Sp Ed classrooms/Dyslexia Accounts Payable - processing Homebound/Contract/Service/Respite Care/etc. invoices.
- Provide PEIMS reports and data to staff and campuses.
- Coordinate travel arrangements/reimbursement.
- Maintenance work-orders.
- Technology work-orders.
- Inventory.
- Maintain SS business records.
- Coordinate bulk emails when needed.
- Assist with the coordination of ESY services.
- Serve as assistant to case managers in the processing of student audit files.
- Assist in completing pertinent data as needed for various state and local reports.
Other:
- Perform other secretarial or office duties as required or assigned by the Director.
- Assist with forms/packets as needed.
- Process folders.
- Perform other clerical or office duties as assigned.
Supervisory Responsibilities: None
Mental Demands/Physical Demands/Environmental Factors: Maintain emotional control under stress; work with frequent interruptions; prolonged use of computer; moderate lifting and carrying.
