Position Overview

We’re looking for a highly organised Procurement Coordinator to manage the end-to-end procurement process across retrofit projects. This role is key to ensuring materials, plant, and subcontractor services are sourced efficiently, cost-effectively, and in line with project timelines. You’ll work closely with Commercial, Design, and Project Management teams to plan, procure, and coordinate materials and resources, ensuring projects are fully equipped for successful delivery. The role requires strong attention to detail, the ability to manage multiple priorities, and a proactive approach to problem‑solving in a fast‑paced environment.

Key Responsibilities

  • Procurement & Ordering: Procure all items required for site setup, including plant and equipment hire. Own all procurement and ordering for your assigned unit, ensuring purchase orders cover full install batches (materials and labour). Enable Project Coordinators to place call-offs efficiently throughout the project lifecycle. Track order status and proactively resolve supplier discrepancies or delays. Work with the Commercial Lead to ensure variations are procured correctly, with competitive and comprehensive quotations. Attend internal handover meetings to understand measures, designs, and installation requirements. Work with Retrofit Coordinators and Designers to develop accurate kit lists and property‑specific material requirements. Schedule and lead calls with subcontractors post‑PIBI to review and refine material needs. Collaborate with Project Management to plan materials at least 7 days in advance, targeting delivery the week prior to installation. Coordinate logistics to ensure timely and efficient delivery of materials and equipment. Identify and onboard new subcontractors and suppliers to strengthen the supply chain. Ensure all suppliers and subcontractors meet compliance requirements, addressing issues and escalating where necessary. Liaise with Project Managers to manage site inventory and coordinate the return of excess materials for credit.
  • Urgent & Ad Hoc Requirements: Prioritise urgent procurement needs to minimise disruption to project timelines. Escalate unresolved issues to the Project Coordinator or Commercial Lead as appropriate. Review and update material lists, highlighting and escalating any deviations or budget impacts.
