Reservations & Events Executive in Manchester

The Alan Hotel is looking for a passionate, organised and commercially minded Reservations & Events Executive to join our team in the heart of Manchester.

This is an exciting opportunity for someone who loves hospitality, thrives in a fast-paced environment and enjoys creating memorable experiences for guests and clients. You’ll play a key role in managing reservations, coordinating events and supporting the commercial performance of our hotel and events spaces.

The Role

As Reservations & Events Executive, you’ll be responsible for managing guest and group reservations from initial enquiry through to arrival, as well as coordinating a variety of meetings, events and private functions.

You’ll be a key point of contact for our guests and clients, ensuring every enquiry is handled promptly, professionally and with a genuine desire to exceed expectations.

Your key responsibilities will include:

• Managing individual, group and corporate reservations from enquiry through to confirmation, while auditing reservations to ensure guest details, booking information, rates, payment details and special requests are accurate and up to date.
• Handling enquiries across phone, email and other booking channels in a professional and timely manner.
• Coordinating meetings, private events, celebrations and corporate functions from initial enquiry through to delivery.
• Preparing and sending proposals, contracts, invoices and event documentation.
• Working closely with the wider hotel team to ensure all bookings and events are communicated clearly and delivered seamlessly.
• Building strong relationships with guests, clients, local businesses and event partners.
• Maximising revenue and identifying opportunities to upsell rooms, food and beverage, meeting spaces and additional services.
• Maintaining accurate booking information and ensuring all systems and records are kept up to date.
• Following up on enquiries and converting opportunities into confirmed bookings.
• Supporting the hotel’s sales and commercial activity where required.
• Handling guest and client queries professionally, resolving issues and ensuring a high level of customer satisfaction.
• Supporting the delivery of a consistently excellent guest experience.

About You

We’re looking for someone who is confident, personable and naturally organised, with a genuine passion for hospitality.

You’ll ideally have:

• Previous experience in hotel reservations, events, sales or a similar hospitality role.
• Excellent communication and interpersonal skills.
• Strong attention to detail and the ability to manage multiple enquiries and deadlines.
• A confident and professional telephone and email manner.
• A commercial mindset with the ability to identify sales and upselling opportunities.
• The ability to remain calm and organised in a fast-paced environment.
• Good IT skills and confidence working with booking and event management systems.
• The flexibility to work as part of a busy hotel operation.
