As our People and Talent Assistant, you will support the People Services team with a mix of HR administration and recruitment activities. This role plays a key part in supporting candidates and employees at different stages of their journey, from responding to queries and preparing documentation to coordinating interviews and helping new starters settle in. A key focus of this role is to ensure candidates, employees, and hiring managers experience a smooth, well-organised, and professional process.
ResponsibilitiesYour responsibilities will include:
- People & HR Administration
- Managing the shared People & Talent inboxes, responding to queries or escalating as appropriate.
- Preparing HR documentation including letters, contracts, variations, and other employment-related correspondence.
- Providing general HR administrative support across the employee lifecycle.
- Maintaining accurate and up-to-date employee records, both electronic and paper-based.
- Filing and organising HR documentation in line with data protection and retention requirements.
- Updating and maintaining HR reports and trackers as required.
- Ensuring HR and recruitment activities are carried out in line with data protection, confidentiality, and organisational policies.
- Onboarding & Offboarding
- Arranging onboarding activities such as system access, inductions, and first-day schedules.
- Supporting offboarding processes, including exit paperwork, system access removal, and documentation.
- Talent & Recruitment Support
- Supporting recruitment campaigns from advert stage through to offer.
- Assisting with shortlisting applications against agreed role criteria.
- Conducting initial phone screening calls using agreed question frameworks.
- Coordinating and booking interviews, including calendar management for hiring managers and panels.
- Managing candidate communications, ensuring a positive and professional candidate experience.
- Preparing and coordinating pre-employment screening checks (e.g. right to work, references).
- Maintaining accurate candidate records within recruitment systems.
You may be required to undertake other duties assigned by your line manager as appropriate.
RequirementsWe are looking for someone with the following:
- Previous experience in a HR, People, or Recruitment administration role.
- Strong organisational skills with excellent attention to detail.
- Ability to manage multiple tasks and priorities effectively.
- Confident communication skills, both written and verbal.
- Experience using HR systems, recruitment platforms, or similar databases.
- Good working knowledge of Microsoft Office (Outlook, Word, Excel).
- Experience supporting recruitment and selection processes.
- Knowledge of basic employment practices and HR processes.
- Experience working in a confidential or regulated environment.
You will ideally hold or be working towards CIPD Level 3 – People Practice.
