We’re looking for a Facilities Coordinator / Receptionist to support the day-to-day running of our site from the front desk. This is a hands-on role that will suit someone organised, proactive, and keen to take ownership. You’ll be working closely with the Facilities Manager to keep the building running efficiently, while helping to improve systems and engagement with tenants. This is not a traditional static role. We’re looking for someone who can spot what needs doing and make it happen. For the right person, there’s real scope to grow and develop in this position.
Responsibilities
- Building Operations & Administration
- Support the Facilities Manager with daily building operations and general administration.
- Maintain and improve internal systems such as maintenance logs, feedback forms, booking systems, and building usage records.
- Ensure front-of-house and common areas are tidy, professional, and well-presented at all times.
- Coordinate with contractors and service providers when required.
- Act as a point of contact for tenants, handling enquiries and maintaining strong communication.
- Create and circulate building updates, newsletters, and notices.
- Help plan, organise and deliver building events and seasonal activities.
- Support with social media content to showcase the building, events, and community.
- Contribute ideas to improve internal and external communication channels.
Skills & Experience
- Previous experience in a facilities, building, or administrative role is desirable.
- Strong organisational skills and attention to detail.
- Confident communicating with tenants, contractors, and colleagues.
- Able to manage multiple tasks and prioritise effectively.
- Comfortable using spreadsheets, forms, and general IT systems.
- Professional, presentable, and reliable.
