THE ROLE

Due to continued growth, they are now looking for an Operations Executive to join the team and support the successful delivery of international events from planning through to onsite execution. This is a broad and varied role where responsibilities will include:

  • Acting as the main liaison with venue teams pre-event, onsite and post-event
  • Coordinating supplier relationships including AV, catering, entertainment and transport providers
  • Managing event logistics
  • Supporting branding, signage and menu selection requirements
  • Managing speaker communications
  • Overseeing PowerPoint presentations and ensuring all speaker content is formatted and event-ready
  • Acting as the main point of contact for AV coordination before and during events
  • Leading onsite coordination with venues, suppliers and operational teams
  • Overseeing registration areas, meeting spaces and event setup
  • Supporting attendees and suppliers with onsite logistics queries and requests
  • Ensuring schedules, catering and transport operate smoothly and on time
  • Assisting with event budget management and expense tracking
  • Supporting supplier payments, contracts and financial administration
  • Participating in internal planning meetings and post-event reviews

THE CANDIDATE

Candidates must have similar experience gained from working within an events environment, ideally within conferences, hosted buyer events, exhibitions or corporate events. Candidates should be highly organised, proactive and confident managing multiple projects simultaneously. Strong communication skills are essential, alongside the ability to remain calm under pressure and build positive relationships with venues, suppliers, speakers and senior stakeholders. Experience with AV coordination, speaker management or onsite event delivery would be highly advantageous.
