This is a major international sports events organisation running tournaments across multiple continents, with an event that draws hundreds of thousands of spectators and a planning and operations function built to match. The internal events team spans operations, hospitality, technology, travel and logistics, and anyone stepping in as Head of Event Crew Logistics will find a structured, driven approach that gives everyone a clear framework to deliver within.
The Role
The Head of Event Crew Logistics is a fixed-term role created to own the end-to-end workforce and crew logistics function for a major international sporting event taking place in September 2027, covering everything from hotel and travel supplier liaison through to staff rotas, accommodation coordination and on-site staff logistics management.
- Plan and manage all crew travel and accommodation logistics for the event
- Liaise with hotel and travel suppliers to secure and coordinate bookings
- Build and maintain staff rotas across the full event programme
- Oversee uniform and on-site crew movement logistics
- Manage spreadsheets, trackers and administrative systems for the workforce function
- Attend on-site during the pre-event and live event periods
- Work closely with the broader operations team to ensure joined-up delivery
The Candidate
You will already have planned and delivered workforce or crew logistics for large-scale events, whether festivals, major sporting events or multi-site productions, and you know what it takes to keep hundreds of people moving, housed and on schedule. You will be extremely organised with high attention to detail.
To step into the Head of Event Crew Logistics position, you will need proven experience coordinating hotel and travel suppliers, building staff rotas and managing accommodation across complex, time-pressured events. Strong spreadsheet and administrative systems skills are a given. A background in international event logistics is essential, and candidates from festival, live events or multi-site staffing backgrounds are very welcome to apply.
