Job Summary:**Company:** Live Nation Music UK Ltd. **Department:** Finance **Location:** Farringdon, London **Reports to:** Tour Accountant **Working Hours:** Full time **Contract Type:** Fixed-Term (6 months)**Role Description**An exciting opportunity has arisen for a detail-oriented individual to join the Tour Accounting division of Live Nation Music as a Tour Accounts Assistant. The main purpose of the role is to provide specialised support in managing and processing tour representative expenses, mainly through the Pleo expense management system, working directly under the supervision of a Tour Accountant.The role will focus specifically on Pleo expense management, serving as the primary point of contact for tour reps regarding expense queries, receipt issues, and VAT compliance. This position offers excellent exposure to expense management processes within the live music industry and provides valuable experience in financial administration and stakeholder communication.Strong communication skills and meticulous attention to detail are essential, as the role involves daily interaction with tour reps and requires accurate processing of expense claims with proper VAT treatment and documentation.**What we can offer you**Live Nation offers impressive employee benefits including tickets to shows and festivals and unlimited annual leave. We hold regular staff events in our atrium stage space including hosting speakers and open mic nights to showcase Live Nation employee talent.**Who you are****Competencies / Skills / Knowledge / Experience*** Interest in concert promotions, event management or music industry finance* Excellent numeracy skills with strong attention to detail and proficiency in Excel at intermediate level* Basic understanding of VAT principles and expense categorisation* Outstanding written and verbal communication skills for liaising with tour reps* Experience with expense management systems or willingness to learn Pleo platform* Strong organisational skills with ability to manage high-volume expense processing* Ability to work to tight deadlines and handle multiple expense queries concurrently**Behaviours**The following attributes determine how the role will be carried out and are required to be a success:* Self-motivated with proactive approach to expense query resolution* Professional and diplomatic communication style when dealing with expense issues* Ability to work methodically through detailed expense reviews and VAT calculations* Uses interpersonal skills to maintain positive relationships with tour representatives* Commitment to accuracy and compliance in financial processing* Ability to escalate complex issues appropriately to Tour Accountant supervision**What the role includes****Daily Responsibilities:*** Review all Pleo expense receipts* Update Pleo expense tracker with accurate VAT splits and necessary amendments* Contact tour representatives regarding expense queries, missing receipts, and documentation errors* Resolve typing errors and other administrative issues in expense submissions* Confirm completed and verified Pleo submissions to Tour Accountant for final approval* Maintain clear communication logs of all representative interactions* Export and submit all Pleo expense reports* Approve show invoices on Inspyrus, for certain shows**Monthly Responsibilities:*** Process all Pleo expenses by month-end* Provide monthly expense processing reports to Tour Accountant* Ensure compliance with VAT reporting requirements for processed expenses* Archive and organise processed expense documentation**Communication and Query Management:*** Serve as primary contact point for all tour representative expense-related queries* Provide guidance to representatives on proper receipt submission and expense categorisation* Follow up persistently on missing or incomplete expense documentation* Escalate complex expense issues to Tour Accountant as appropriate**Administrative Tasks:*** Maintain accurate Pleo tracker database with current expense status* Prepare expense summaries and variance reports as requested* Support Tour Accountant with month-end expense reconciliation activities* Assist with ad-hoc expense analysis and reporting projects**Key Operational Notes:*** All final expense processing requires Tour Accountant approval before completion* Responsible for maintaining comprehensive expense query resolution records* Must ensure VAT compliance across all processed expense claims**Equal Opportunities**We are passionate and committed to our people and go beyond the rhetoric of diversity and inclusion.
