Requirements

  • Proven experience working as a Personal Assistant (PA), Executive Assistant (EA), or in a similar senior administrative support role
  • Experience supporting senior executives and managing complex and competing priorities
  • Exceptional organisational skills with the ability to manage multiple tasks and deadlines simultaneously
  • Excellent attention to detail and a high degree of accuracy
  • Strong written and verbal communication skills
  • Advanced IT skills, including proficiency in Microsoft Outlook, Word, Excel and PowerPoint
  • Proven ability to build and maintain effective relationships with stakeholders at all levels, both internally and externally
  • Knowledge of the live music, entertainment or events industry

What the job involves

  • Job Type: Fixed term contract, expected duration 10 months
  • An exciting opportunity has arisen for a maternity cover position supporting the office of our Executive Vice President of Touring UK, overseeing promoter, marketing and ticketing teams for all UK concerts
  • The individual will be required to collaborate daily with departments and stakeholders – both internal and external – and thus must be confident, considered, with excellent communication skills and a great team player
  • Attention to detail and workflow management will be essential as you support key business matters
  • Provide comprehensive diary management for the EVP Touring, including scheduling internal and external meetings, events and conference calls
  • Manage the EVP's inbox, exercising sound judgement, discretion and an understanding of business priorities
  • Attend meetings, record actions, prepare and distribute minutes, and ensure follow-up on key actions where required
  • Build and maintain strong working relationships with senior stakeholders across Live Nation businesses
  • Liaise with department heads across the business and high-profile external stakeholders
  • Support the EVP and wider team with administrative, organisational and private office requirements
  • Assist with prioritisation of workloads, meeting schedules and key business activities
  • Organise team lunches, business events and other internal functions as required
  • Compile, maintain and distribute relevant email distribution lists
  • Coordinate hotel accommodation requests for promoters and business stakeholders
  • Coordinate pass and accreditation requests for promoters and business stakeholders
  • Process and reconcile expenses accurately and within required deadlines
  • Support the delivery of ad hoc projects, presentations and reports as required
  • Handle confidential and sensitive information with the utmost discretion and professionalism
  • Coordinate domestic and international travel arrangements
  • Prepare meeting agendas, presentations and briefing materials
  • Act as a key point of contact for internal and external stakeholders
