- Description
Working within VIP Nation International you will assist the operations team in overseeing all administrative aspects necessary to fulfil VIP packages on international tours.
The role requires exceptional communication, interpersonal and leadership skills.
Key Responsibilities
- Assist the operations team with all administrative tasks required on a tour
- Co‑ordinate logistical arrangements across international markets including travel, accommodation, shipping, goods and equipment
- Agree and compile entry information and timings for letters/emails and itineraries
- Manage administrative tasks using tools such as Mailchimp, Attendium, Salesforce and Concur
- Actively source and recruit casual staff for events, manage and fulfil the payroll process, and create pay breakdowns for tour representatives
- Monitor and help manage reps’ touring expenses via a pre‑paid card system
- Monitor staffing levels at shows and create briefing doc packs
- Assist in ensuring specified goods and services are delivered to customers before, during and after the event as appropriate
- Assist with merch shipment and customs clearance of VIP merch
- Assist in sourcing suppliers and facilitating tender processes, where required
- Assist in creating purchase orders for goods ordered by event managers
- Ensure the tour accountant has all cost information, relevant purchase orders and receipts prior to settlement
Qualifications & Skills
- Excellent verbal communication skills
- Experience in content administration
- Accurately managing deadlines
- Knowledge of IT systems/tools such as Mailchimp, Salesforce, Concur and Attendium is an advantage
- Previous experience writing and delivering briefings to an appropriate standard
- Proficiency in Microsoft applications, especially Excel, is essential
- Previous corporate/private events experience is a distinct advantage
- Experience in a customer services environment, ideally in a dispute resolution capacity
- Good command of written English
- Previous experience in an admin‑heavy role is desirable
- Additional languages are desirable
