Role & Responsibilities – Project Delivery
As a Project Coordinator, you’ll do much more than just lead our myriad projects over the line. You’ll be a central cog within our delivery team which makes our events so effective and so special. You’ll be joining a dedicated team who are passionate about events. Within this team you’ll be responsible for assisting Senior Project Managers, leading on managing speakers and venues, as well as building registration websites and data management. This will include taking responsibility for the management and delivery of elements relating to multiple projects using our inhouse digital tools. You will also be responsible for:
- Supporting Senior Project Managers and Project Managers on multiple events at one time, including conferences, virtual, hybrid and live events, road shows, exhibitions, and summits, in the UK.
- Planning, managing and delivering areas of events/projects, taking responsibility for elements such as speaker management, accommodation management, venue and logistics and delegate management, reporting into Senior Project Managers and Project Managers, ensuring all elements of delivery are aligned to internal processes.
- Leading on administrative tasks such as meeting minutes, preparing agendas, updating project plans, answering client/delegate emails, raising purchase orders, managing inboxes, making amends to websites, pulling reports, etc.
- Delivering all aspects of role within timeline and budget where set-out by Senior Project Managers and Project Managers.
- Managing suppliers where needed, ensuring the highest standards of service/product delivery at the best negotiated price.
- Liaising with third parties including venues and suppliers.
- Managing clients where needed, ensuring a professional and timely approach is always given to any communication.
- Using our systems to build and manage a diverse range of meetings, conferences and virtual events on behalf of our clients. This will include event registration websites and event apps.
- Assisting with event logistics across client events, including booking travel and accommodation.
- Working in partnership with internal business units, including creative design, technical production, digital services, content creation to deliver outstanding results for our clients.
- Travelling to live events where required, with the wider project team, and managing onsite responsibilities.
- Being an ambassador of the company at all times.
- Managing any post-event feedback required.
About You
- A strong track-record of Project Coordination / Events Management.
- Excellent organisation, project management and documentational skills.
- A great telephone manner and impeccable customer service.
- The ability to communicate clearly and effectively with colleagues and clients.
- Confident dealing with suppliers, including venues and hotels.
- Proficiency in the Microsoft Suite.
- Customer-focused at all times.
- Solid understanding of how event technologies can be utilised at events.
- Ability to work on the here and now but have the oversight to plan ahead.
- Independent worker, taking responsibility for your own actions.
