Working alongside the project team, our digital specialists manage and utilise a growing portfolio of event technology, including registration platforms, websites, apps, badging, and more. Purpose of Role
This role combines event project management with digital delivery. You will manage a mix of projects, some purely digital, involving building registration and event websites, apps, data reporting and integrations; others focus more on event logistics, and the onsite delegate experience. The role requires someone highly organised, tech‑savvy, and adaptable, with the ability to learn our proprietary software quickly while leveraging experience with other platforms. You’ll be client‑facing, detail‑oriented, and thrive in a fast‑paced environment.
Digital Delivery
- Build and manage event registration websites, apps, and digital tools using our proprietary platform.
- Configure and test digital products to ensure quality and user experience standards are met.
- Ensure GDPR compliance and data security throughout.
- Provide client demos and training on digital tools; interpret briefs and scope technical requirements.
- Set up bespoke event reports, understanding client KPIs and data needs.
- Support digital strategy through research and integration of new technologies.
- Lead onsite delivery for digital elements (check‑in, badging, app support) across UK and international events.
Project Management
- Act as the main point of contact for clients, managing timelines, budgets, and expectations throughout the project lifecycle.
- Coordinate suppliers (website developers, designers, venues, logistics, AV), ensuring compliance with internal processes and profit margins.
- Create and maintain project plans, wireframes, and documentation; lead client meetings and post‑event debriefs.
- Manage budgets from creation through reconciliation, securing approvals and issuing invoices.
- Plan, manage, and deliver a diverse range of events including in‑person, hybrid (if required).
- Work collaboratively with internal teams (design, content, technical production) to deliver outstanding results.
Delegate Management
- Oversee delegate communications via email and phone, and provide customer service onsite, ensuring professionalism and responsiveness.
- Coordinate badging and check‑in processes, including third‑party suppliers and onsite staffing.
Experience & Skills
- An interest in the use of digital event tools to improve delegate experience and client results.
- Proven ability to manage multiple projects concurrently in a fast‑paced environment.
- Experience with Cvent, Swoogo, or similar event platforms.
- Strong understanding of event logistics, budgeting, and supplier management.
- Proficiency in Microsoft Office suite, particularly Excel.
- Understanding of GDPR and data security best practice.
- Familiarity with basic design tools (Adobe XD, Canva, Figma).
- An understanding of how digital products are developed and maintained.
- Ability to extract and manipulate data for client reporting.
