Job Description
The Events and Client Development Assistant will play a key role in supporting the gallery's events and business development teams. The Assistant reports to the Senior Director of Marketing & Communications (based in New York), working closely alongside the Director of Business Development and the wider gallery team to produce and implement effective events across the gallery's programming calendar. Part of this role includes the successful integration of client data into our CRM, and the ability to supply reports and create successful lead generation campaigns. This is a full-time role, based from our London gallery.
The successful candidate will support the planning, coordination, and execution of various gallery events, from exhibition openings to private viewings, client dinners, bespoke tours and artist talks.
Primary responsibilities include:
· Assist with the planning and implementation of gallery events, exhibition openings, and special programming
· Coordinate event logistics including venue preparation, catering, equipment, and materials
· Maintain event calendars and schedules
· Liaise with artists, speakers, vendors, and service providers
· Work closely with communications, sales, and exhibitions teams to ensure event alignment with wider gallery programming and strategy
· Manage the invitation process – advising on numbers, ensuring invitations are sent out on time, recording and responding to RSVPs, and keeping colleagues informed
· Inputting RSVPs into Salesforce campaigns and managing reports
· Organise seating with directors and sales team with client development in mind
· Provide on-site support during events, ensuring smooth operations
· Create and distribute event-related communications and marketing materials
· Track and analyse event attendance and engagement to inform future programming
· Support post-event activities including follow-up communications and evaluation
· Maintain accurate records of event attendance and feedback
· Assist with budget tracking for events
· Additional tasks and duties as required
Requirements:
· Previous experience in events coordination or similar role, preferably in an arts or cultural setting
· Strong organizational skills with attention to detail
· Excellent communication and interpersonal skills
· Incredibly organised and hardworking, with a proactive and positive attitude
· Willing to be managed from New York, noting the time difference, and working closely with the Marketing & Communications team globally (NY, LA, London, China)
· Ability to work well with multiple teams, as well as independently
· Proficiency and/or prior experience with event management software
· Knowledge of Salesforce, Pardot and Zkipster a plus
· Knowledge of basic design tools, InDesign and Photoshop experience a plus
· Ability to work well under pressure and meet deadlines
· Willing to work outside of regular office hours (e.g. for events, openings, and urgent enquiries).
