We are looking for an Accounts Payable Assistant to join our busy accounts department to support in maintaining the purchase ledger for our UK and Ireland companies and working closely with our suppliers. You will have a passion for working and building relationships with various teams across the business, fantastic attention to detail and be a great team player, as this is a key role within the busy finance team. You will have a positive attitude and approach, a desire to learn and improve processes and always be helpful, welcoming and thoughtful to others. This position is a 12 Month Fixed Term Contract.
The Role – Accounts Payable Assistant
- Support the Transactional Finance Manager in maintaining accurate and timely supplier accounting records.
- Create and update supplier master data, including verifying bank details.
- Process, code and post supplier invoices and payments (including Direct Debits and Proformas).
- Match invoices to purchase orders and resolve discrepancies with internal teams and suppliers.
- Manage invoice disputes, place items on hold, and process credit notes when resolved.
- Download invoices from supplier portals and maintain account security.
- Reconcile supplier statements and manage supplier refunds.
- Maintain the supplier inbox and respond to queries promptly.
- Work collaboratively across the finance team to ensure smooth purchase-to-pay operations.
- Assist with audit and supplier reporting tasks.
What You Will Need in the role of Accounts Payable Assistant
- A minimum of 1 years experience working in a related finance role, with experience of the purchase ledger, cash book and reconciliations.
- Understanding of the purchase to pay process and how the finance team and other departments impact this.
- Understanding of various banking transactions and processes, such as Direct Debit, BACS and standing orders.
- Knowledge of good customer service and the part the team plays in delivering customer satisfaction.
- Ideally be studying towards a professional accountancy qualification, such as AAT Level 3 or above.
- IT Proficient with a good understanding of MS Office products and ERP systems.
- Tenacious to get things done and responsive to meet deadlines.
