Role Overview
Linnk Group is seeking a highly organised Project Coordinator / Project Management Administrator to support a portfolio of engineering and construction projects.
Working alongside the Programme Management team, you will play a key role in ensuring projects are well-governed, accurately documented, and efficiently coordinated, allowing Project and Programme Managers to focus on strategic delivery.
This role is heavily focused on project administration, programme governance, reporting, onboarding, and documentation management.
You will help standardise processes across the programme, maintain project trackers, coordinate contractor onboarding, and ensure project information remains accurate across multiple internal systems.
Initially, the successful candidate will work full‑time onsite in Central London to support onboarding and integration into the programme before transitioning to a hybrid working arrangement.
Occasional travel to UK sites may be required.
Key Responsibilities
- Support the day-to-day administration of multiple engineering and construction projects across the programme.
- Maintain programme governance processes and ensure project documentation is accurate and up to date.
- Standardise reporting across projects to improve programme visibility and consistency.
- Prepare project updates, status reports, risk registers, and governance documentation.
- Maintain programme trackers and ensure project milestones, actions, risks, and deliverables remain current.
- Support escalation management by ensuring accurate project information is available when required.
Project Administration
- Coordinate contractor onboarding activities, ensuring onboarding tasks are completed within required timelines.
- Support purchasing and procurement administration.
- Create and maintain project folder structures and documentation repositories.
- Assist with programme communications by managing shared inboxes, meeting actions, and follow-up activities.
- Develop and maintain user guides, onboarding documentation, and standard operating procedures for new team members.
- Reduce the administrative workload across the programme team, enabling Project Managers to focus on project delivery.
- Maintain project information across programme management systems, ensuring data integrity and accuracy.
- Update project risks, actions, and programme information within internal tracking tools.
- Manage project tickets and workflow activities.
- Support project reviews and action tracking across programme management platforms.
- Produce reports and dashboards using Microsoft Excel and other collaboration tools.
- Ensure programme documentation remains organised, version‑controlled, and easily accessible.
- Identify opportunities to improve programme administration and governance processes.
- Support the standardisation of project documentation and reporting across the wider programme.
- Help develop best practices and documentation that improve consistency for future projects.
- Contribute towards making the wider programme team more efficient and strategically focused by streamlining administrative processes.
- Basic Qualifications
- 3+ years' experience in a Project Coordinator, Project Administrator, PMO, Programme Coordinator, or Project Support role.
- Experience supporting multiple concurrent projects or programmes within fast‑paced environments.
- Strong understanding of project governance, reporting, and programme administration.
- Advanced Microsoft Office skills, particularly Microsoft Excel.
- Excellent organisational skills with exceptional attention to detail.
- Experience maintaining project trackers, risk registers, action logs, and programme documentation.
- Strong communication skills with the ability to work across multiple stakeholders and project teams.
- Ability to manage competing priorities while maintaining a high level of accuracy.
Preferred Qualifications
- Experience supporting construction, engineering, infrastructure, logistics, or facilities programmes.
- Experience working within large‑scale engineering or infrastructure organisations.
- Familiarity with project management, workflow, and collaboration tools.
- Experience using Microsoft Teams, Slack, Zoom, Asana, procurement platforms, and project tracking software.
- Experience supporting contractor onboarding and programme governance activities.
- UK‑based with flexibility to travel occasionally to project sites when required.
- Initial onboarding period based full‑time onsite in Central London.
- Hybrid working available following successful onboarding.
- Long‑term contract with strong extension potential.
- Work closely with Programme Managers, Project Managers, Construction teams, and Engineering stakeholders.
