Our Business Operations team exists to optimise agency performance - streamlining processes, protecting revenue, driving sustainable growth, and delivering world-class client experiences. This role sits within that team, playing a critical part in how we engage, manage, and retain the specialist external and freelance talent that helps to power our work.
The Role
We're looking for a highly organised and people-savvy coordinator to own and manage our freelancer engagement process end-to-end. From sourcing and screening candidates through to onboarding, compliance, and ongoing relationship management, you'll be the central point of contact between our freelance network, internal managers, and support functions such as Payroll and Finance. A key part of this role involves managing IR35 status determinations and ensuring all contractor engagements are fully compliant with HMRC regulations - so a working knowledge of UK off-payroll working rules is essential. This is a Part Time role - 2.5-3 days per week / 18-22.5 hours per week.
Core Responsibilities
- Freelancer Management
- Own and manage our online freelancer platform on behalf of the business, keeping records accurate and up to date.
- Build and maintain strong relationships with our freelance talent pool, acting as the primary point of contact throughout each engagement.
- Sourcing & Matching
- Work closely with relevant managers to define project requirements, agree day rates, and develop engagement specifications.
- Source, screen, and match self-employed contractors to project briefs, ensuring the right skills and cultural fit for each assignment.
- Conduct interviews and assess technical ability, relevant experience, and suitability for the Linney Create environment.
- Compliance & IR35
- Administer IR35 status determinations for all contractor engagements, assessing classification risks in line with current UK legislation.
- Ensure all necessary contracts, agreements, and documentation are completed accurately and on time.
- Maintain compliance with HMRC regulations and UK off-payroll working rules, escalating any complex determinations where appropriate.
- Process & Onboarding
- Facilitate smooth onboarding for all new freelancer engagements, coordinating across internal teams to ensure a seamless experience.
- Work with Payroll and Finance to ensure accurate and timely processing of contractor payments.
- Continuously look for opportunities to improve and streamline the freelancer engagement process.
What We're Looking For
- Communication & relationships: Confident, clear communicator with strong interpersonal skills and the ability to manage relationships with both freelancers and internal stakeholders.
- IR35 knowledge: A solid understanding of the IR35 off-payroll working rules and experience applying them in practice - or a strong willingness to develop this expertise quickly.
- Industry awareness: Familiarity with creative and/or production disciplines, and an understanding of current freelance market rates.
- Process-driven mindset: Comfortable working in a fast-paced agency environment, with a natural inclination towards structure, governance, and getting the detail right.
- Collaborative: Able to work effectively across teams - particularly with HR/People Services, Payroll, and Finance functions.
- Previous experience in a freelance management, contractor coordination, resourcing, or operations role is desirable.
