About the Role

This is an entry-level opportunity for someone looking to build a long-term career in legal operations, business operations, or law firm management. You'll work closely with the Practice Manager and leadership team, helping to keep the firm running efficiently behind the scenes. From managing systems and improving processes to supporting client onboarding and leveraging AI, you'll gain exposure to how a modern, growing law firm operates. This role is ideal for someone who enjoys solving problems, working with technology, creating order from complexity, and continuously improving the way things are done. You'll be given real responsibility from day one and will have the opportunity to develop into a key member of the firm's operations team as the business continues to grow.

Key Responsibilities

  • Operations & Systems
    • Maintain accurate records across the firm's operational systems.
    • Support the administration of Clio, CRM platforms, and other business systems.
    • Ensure consistency and accuracy of data across multiple platforms.
    • Assist with document management and digital file organisation.
    • Identify opportunities to improve workflows and operational efficiency.
  • CRM & Business Development Support
    • Maintain and update CRM records.
    • Monitor pipeline activity and ensure information remains current.
    • Support reporting and data analysis.
    • Assist with maintaining high-quality client and referral data.
  • Client Onboarding
    • Support new client onboarding processes.
    • Assist with KYC, AML, conflict checks, and onboarding documentation.
    • Ensure onboarding information is complete and accurately recorded.
    • Help maintain consistently high onboarding standards.
  • AI & Technology
    • Use AI tools to improve administrative efficiency and internal processes.
    • Help identify opportunities to automate repetitive tasks and improve workflows.
    • Support the firm's continued adoption of AI and emerging technologies.
    • Stay up to date with new AI tools and suggest practical ways they can improve how the firm operates.
  • Marketing & Firm Growth
    • Assist with legal directory and award submissions.
    • Support SEO and website content coordination.
    • Provide administrative support for marketing and business development initiatives.
  • General Operations
    • Support internal documentation and operational procedures.
    • Assist with firm-wide operational projects.
    • Provide administrative support across different departments where required.

About You

What matters most is your attitude, willingness to learn, comfort with technology, and desire to build a career in operations. You enjoy bringing structure to complex situations, spotting ways to improve processes, and finding smarter ways of working.

Essential

  • Experience with CRM systems, Clio, Notion, or other business management platforms.
  • Previous experience in a law firm or other professional services environment.
