Role Overview
The Practice Manager is responsible for overseeing the firm’s operational processes, ensuring that legal work progresses efficiently and is translated into timely and accurate billing. The role sits at the centre of legal delivery, operations, and finance, providing structure, visibility, and consistency across workflows, billing cycles, and reporting.
Key Responsibilities
- Workflow & Matter Management
- Oversee allocation of work across the legal team
- Monitor matter progress, timelines, and capacity
- Identify and address bottlenecks
- Ensure matters progress efficiently from instruction through to completion
- Billing & Revenue Process
- Ensure time recording is accurate and up to date across the team
- Coordinate monthly billing cycles with solicitors
- Oversee the conversion of WIP into invoices
- Ensure invoices are issued in a timely and consistent manner
- Reporting & Financial Visibility
- Produce weekly reporting on revenue, WIP, and pipeline
- Provide clear visibility on operational and financial performance
- Identify risks such as unbilled time, delays in billing, or matter stagnation
- Work closely with the Finance function to align operational and financial data
- Client Journey & Standards
- Oversee onboarding processes, including KYC and matter setup
- Maintain consistent standards of client communication and delivery
- Support continuous improvement of the client experience
- Systems & Process Management
- Oversee and optimise use of systems (including Clio and CRM)
- Maintain and develop internal processes and operational documentation
- Ensure data integrity across systems
- Team Coordination
- Act as a central coordination point between legal, operations, and finance
- Support the Partner on pipeline visibility
- Supervise and support Junior Operations
Candidate Profile
- 5+ years’ experience in a law firm/ABS operations or legal management role
- Strong understanding of law firm workflows, billing processes, and WIP management
- Commercially aware with the ability to interpret operational data in a financial context
- Highly organised with strong attention to detail
- Confident working with legal systems and reporting tools
- Effective communicator, able to work across legal and non-legal teams
- UK-based (ideally London), with the ability to work 2-3 days a week from our Mayfair office
