About the Role

To provide an efficient and responsive administrative, organisational and logistical service to the Construction Department.

Responsibilities

  • Collation and distribution of weekly build progress and EUs to be sent to senior management and weekly build programmes to be sent to staff and senior management.
  • Process site and agency timesheets, track holidays and procure agency staff for sites.
  • Collation and processing monthly mileage and non-mileage claims for SM/ASM/Contract Manager.
  • Track and log handover paperwork from site and log CMLs for plots.
  • Send 14-day call reminders to Contract Managers.
  • Liaise with external agencies to order construction sundries.
  • General administration duties for office and site and assisting with IT issues within the department.
  • Preparation for quarterly Site Managers meetings; agenda, paperwork/handouts, PowerPoint presentation, minute taking, distribution of minutes and actions.
  • First point of contact for the Construction Department both internally and externally, dealing with requests efficiently.
  • Document preparation for Construction Director; correspondence to departments and customers, reports, letters, build programmes, site plans and meeting papers.
  • Diary, email and telephone call management for the Construction Director.
  • Liaise with Recruitment Agencies; agree operative site cover/rates/facilitating PO numbers raised by the Commercial Department/agree worked hours along with the Contracts Managers.
  • Processing Accounts paperwork including weekly timesheets, signed invoices/receipts and confidential information.
  • Generate MI reports for senior management in preparation for board meetings.
