The Role\"Chief of Staff\" - Single Private Family Office (Mayfair based)Martis Search are representing a Mayfair based Family Office to hire a permanent senior “Chief of Staff.”The role reports into their “Principal” and requires a senior and “strategic” “Chief of Staff” to join their business.The purpose of the role is to support the Principal in managing personal household operations across the UK and their global homes. This is a pivotal role that requires a proactive problem-solver with exceptional communication skills, a hard worker willing to travel and able to coordinate diverse teams, and optimise day-to-day operations.This is a hugely demanding role, with global responsibilities. You will be managing various small teams employed by the Principal in the UK and other global locations. You will have a permanent EA to support you for any smaller administrative type tasks. In addition, our client will be demanding and although the role is formally working London hours, it requires a “24:7” type attitude and you could be on call any time from the Principal, or the wider team in the UK and other locations.This is an exciting Family Office “start-up”, so the environment is new and is less structured. This means you will be responsible for creating processes and managing project for the Principal. Our client is looking for someone who is of graduate calibre, has been a “Chief of Staff”, or “Head of Office Management”, within a Family Office, or boutique Wealth Manager, with a minimum of x 10-years in this type of role. In addition, our client is looking for a stable CV, with a solid number of years in each company. Operational Oversight:Coordinate and streamline operations across the UK and other global locations, ensuring seamless collaboration between teams.Manage high-level priorities and ensure timely execution of critical household mattersOversee reporting lines for personal assistants, housekeepers, security, and other key staff, ensuring efficient delegation and accountability and with key 3rd party contractorsPartner with and help coordinate with the property and art asset management teams to ensure effective management and maintenance of properties and art ensuring spend is tracked and approvals managed.Collaborate with the payments team to ensure timely payment of invoices related to the Principal\'s personal expenditureCommunication and Coordination:Foster clear, effective communication across all levels of the household operationsAct as the key communication point of contact for the Principal across all affairsPrepare simple and digestible summaries, briefings, and updates for the Principal to facilitate informed decision-makingProject and Task Management:Oversee household projects, managing timelines, budgets, and deliverables to ensure successful outcomes.Monitor progress on initiatives, identify potential issues, and implement solutions.Drive efficiency through the implementation of best practices and innovative tools.Drive strategic thinking on how to improve the effectiveness and efficiency of the Principal\'s household operationsFamily administration and ad-hoc requests, including working with concierge services.Team Leadership:Support the Principal in managing and developing the team, including recruitment, onboarding, and performance management for all personal household staff (security, housekeepers, Pas, etc)Mentor and guide team members, fostering a culture of accountability and excellence.Travel and Logistics:Oversee coordination of travel plans, schedules, and logistics for the Principal and family supported extensively by PAsOversee arrangements related to multiple residences, ensuring smooth operations and high service standards.Confidentiality and Professionalism:Maintain the highest standards of discretion and professionalism in handling sensitive personal and business matters. The Successful Candidate:Proven experience in a senior operational or strategic role, such as Chief of Staff, Operations, Private Office Manager, or similar.Exceptional organisational and project management skills, with the ability to juggle multiple priorities.Strong financial literacy and understanding of budgets, forecasts, and ROI-driven decision-making.Outstanding interpersonal and communication skills, with a proven ability to manage diverse stakeholders.Experience working in high-pressure, fast-paced environments, with a proactive and solution-oriented mindset.Familiarity with family Offices, luxury property management, Art is highly desirable.Tech-savvy with a strong interest in leveraging the latest tools and technologies to improve operations.Ability to work independently, demonstrate sound judgment, and anticipate the Principal’s needs.Hard working with ability to travel with short notice with the PrincipalSalary:Between £100 k pa - £150 k pa dependent upon experience plus discretionary annual bonus, healthcare, pension etc.
