We are seeking an experienced Document Controller with a strong background in M&E construction environments. The role will support project delivery across fit-out and laboratory projects by ensuring accurate, timely, and compliant management of all project and procurement documentation. The ideal candidate will have experience working with technical documentation, supplier coordination, and strict regulatory environments typical of laboratory builds.

Key Responsibilities

  • Document Control & Management
    • Establish, maintain, and manage document control systems for project and procurement documentation.
    • Ensure all documents (drawings, RFIs, submittals, specifications) are correctly logged, tracked, and distributed.
    • Maintain document registers, revision control, and version tracking in line with company and client standards.
    • Ensure proper filing and archiving of all project documentation (electronic and hard copy).
  • Project Coordination
    • Support project teams with document workflows, approvals, and transmittals.
    • Ensure all M&E drawings and technical documents are up to date and aligned with site activities.
    • Coordinate with design teams, consultants, and clients for document submissions and approvals.
  • Compliance & Quality Assurance
    • Ensure all documentation complies with QA/QC procedures and project standards.
    • Maintain audit trails for all document transactions.
    • Support ISO compliance and internal/external audits.
    • Ensure laboratory project documentation meets regulatory and validation requirements (e.g., GMP where applicable).
  • Systems & Reporting
    • Use document management systems (e.g., Aconex, Viewpoint, Asite, or similar).
    • Generate reports on document status, overdue items, and procurement tracking.
    • Continuously improve document control procedures and workflows.

Requirements

  • Minimum 3–5 years’ experience as a Document Controller in M&E construction.
  • Experienced in using Procore software.
  • Proven experience supporting procurement processes.
  • Experience in fit-out and laboratory projects is highly desirable.
