The ideal candidate, of an Office Assistant, will be joining the Special Works department of a well-established, family‑run electrical contracting business.

This is a varied and fast‑paced role supporting multiple Project Managers while also managing the critical coordination of reactive maintenance works. You\’ll be the central point of contact ensuring our engineers respond to client callouts within contractual SLA timeframes (4 hours, 24 hours, 48 hours, or 7 days), while maintaining accurate performance data for quarterly client reporting.

Key Responsibilities:

  • Efficiently schedule and dispatch engineers to reactive callouts, ensuring contractual response times are met
  • Maintain live scheduling systems to track engineer availability and job status
  • Monitor and update SLA performance data for presentation at quarterly client meetings
  • Act as the primary point of contact for urgent client enquiries and new reactive works

Administrative Support:

  • Provide effective support to multiple Project Managers within the Special Works department
  • Schedule daily workloads for Project Managers and Engineers, communicating efficiently to all parties
  • Assist with data input including test sheets and other technical documentation
  • Support the accounts department with invoicing and opening new jobs
  • Organise and submit expenses and timesheets
  • Prepare meeting notes, PowerPoint presentations, and standard documentation
  • Handle incoming calls and general client liaison
  • Exceptional organisational skills with the ability to multi‑task, prioritise and work under pressure
  • Strong communication skills and a positive, proactive attitude
  • Experience managing complex workloads in a fast‑paced environment
  • Ability to think ahead and anticipate needs before they arise
  • Proficient use of Microsoft Outlook, Word, Excel and PowerPoint
  • Excellent attention to detail and ability to meet deadlines
  • Calm and adaptable when dealing with changing priorities
  • Discretion and ability to maintain confidentiality
  • Full UK driving licence
  • Minimum 1 year relevant administrative experience
  • Previous experience in a reactive maintenance or SLA‑driven environment
  • Familiarity with scheduling/job management systems
  • Background in the construction or electrical contracting sector
