We are seeking a proactive and organised Site Administrator to support the delivery of facilities management services on a MOD site in Donnington. Reporting to the Site Supervisor, you will play a key role in coordinating maintenance activities, managing compliance requirements, and acting as the day‑to‑day point of contact for site stakeholders. This role is primarily administrative and coordination‑focused but will also require involvement in contractor management, scheduling, and operational support. You will support the delivery of both reactive and planned maintenance in line with statutory requirements and client expectations.
What You Will Be Responsible For:
- Act as the primary point of contact for site stakeholders regarding maintenance issues and service requests.
- Coordinate and schedule site‑based engineers and subcontractors, ensuring effective delivery of reactive, planned preventative maintenance (PPM), and remedial works.
- Manage and prioritise workloads to ensure service delivery aligns with contractual KPIs and SLAs.
- Use CAFM and other internal systems to log, track, and update work activities and generate reports.
- Monitor and maintain compliance across the site, ensuring statutory maintenance tasks are completed in line with relevant standards such as SFG20 and regulatory requirements.
- Ensure documentation including RAMS (Risk Assessments and Method Statements), service records, and compliance logs are available for review by the Site Supervisor before and after works are completed.
- Support the management of subcontractors and suppliers, including coordination of works, performance monitoring, and material ordering.
- Ensure materials and resources are ordered and available to support scheduled works.
- Build and maintain effective working relationships with internal teams, contractors, client staff and MOD staff.
- Identify and escalate any compliance risks, service issues, or operational concerns to the Site Supervisor.
- Assist in preparing reports on service delivery, compliance status, and performance metrics.
- Support site audits, inspections, and continuous improvement activities.
- Ensure all activities are carried out in accordance with company procedures and the requirements of working within a secure MOD environment.
What We Are Looking For:
- Previous experience in a facilities management, maintenance coordination (desirable but not essential), or administration role.
- Good understanding of FM compliance requirements, including statutory maintenance, SFG20 standards, and RAMS (desirable but not essential).
- Strong organisational skills with the ability to manage and prioritise multiple tasks in a fast‑paced environment.
- Confident communicator with the ability to build relationships with clients, contractors, and internal teams.
- Ability to take ownership of day‑to‑day site coordination and stakeholder communication.
- Experience coordinating engineers, subcontractors, or service providers (desirable but not essential).
- Proactive approach to problem‑solving and the ability to escalate issues appropriately.
- Competent in Microsoft 365 applications and comfortable using CAFM or similar systems.
- Understanding of working within a regulated or secure environment (desirable but not essential).
- Background / understanding of general engineering practices (desirable but not essential).

- This role operates within a Ministry of Defence site and requires adherence to high‑level security, safety, and compliance protocols.
- The successful candidate will be expected to represent the company professionally and committed to delivering operational excellence.
- This is a full‑time, site‑based role with no hybrid working options, due to the operational and security requirements on site.
- 25 Days holiday plus bank holidays.
