ABOUT THE ROLE

The Transition Support is pivotal in ensuring the successful mobilisation of new client contracts and supporting the smooth renewal of existing contracts. You will provide administrative and operational support to the Transition Team, working closely with the Renewals and Mobilisation Manager to maximise contract renewals both commercially and operationally. In addition, you will collaborate with the Systems Support team to maintain and optimise the CAFM (Computer‑Aided Facility Management) system. This role involves coordinating with various stakeholders to ensure seamless transitions, whether for new contracts or ongoing contract renewals.

WHAT YOU WILL BE RESPONSIBLE FOR

  • Contract Mobilisation & Renewals Support
    • Provide administrative support during the mobilisation phase for newly awarded M&E contracts and ongoing contract renewals.
    • Assist the Renewals Manager in maximising the value of contract renewals, both operationally and commercially.
    • Support the creation of renewal strategies, working with internal teams to align operational capabilities with client expectations and commercial targets.
    • Ensure that all necessary documentation, data, and reports are prepared and presented to support successful contract renewals and handovers.
    • Provide client portal training on our CAFM system for new/existing clients.
  • Commercial & Operational Support for Renewals
    • Assist in the preparation of commercial proposals, pricing models, and operational plans to support contract renewals.
    • Work closely with the Renewals and Mobilisation Manager to identify opportunities to enhance service delivery, reduce costs, and increase contract profitability.
    • Provide operational insights during the renewal process, ensuring that the solutions proposed are realistic and aligned with the company’s capabilities.
    • Track key performance indicators (KPIs) for existing contracts to inform renewal strategies and identify areas for improvement.
  • CAFM System Data Management
    • Collaborate with the Systems Support team to ensure that the CAFM system is cleansed, accurate, and visually optimised for both new and existing contracts.
    • Ensure that data related to ongoing contracts is up‑to‑date and ready to support the renewal process.
    • Monitor system performance to ensure it continues to meet the needs of both mobilisation and renewals.
  • Stakeholder Engagement
    • Act as a liaison between internal stakeholders, including Renewals and Mobilisation Manager, and Systems Support team, to ensure alignment during both contract mobilisation and renewal phases.
    • Engage with clients and internal teams during renewals to ensure that all parties are informed and aligned on the renewal strategy.
    • Provide regular updates to key stakeholders, highlighting progress and identifying any potential risks or challenges.
    • Successfully support the mobilisation of new contracts and the renewal of existing contracts, maximising commercial and operational opportunities.
    • Collaborate effectively with the Renewals and Mobilisation Manager to ensure renewal strategies meet both client and business objectives.
    • Maintain and optimise the CAFM system to support seamless contract transitions.
    • Ensure smooth handover to the operations team for both new and renewed contracts, supporting ongoing service delivery.
