ABOUT THE ROLE

We are seeking an experienced and proactive Compliance Coordinator to support statutory and contractual compliance across Linaker operations. Reporting to the Compliance Manager, the role is responsible for reviewing PPM documentation, ensuring all compliance evidence is accurate, complete, and auditable, and managing the tracking and closure of remedial and recommended works.

The successful candidate will have a strong understanding of engineering, facilities management, and building compliance within commercial properties. They will play a key role in supporting operational teams, maintaining compliance assurance, and ensuring clear audit trails across all compliance activities.

WHAT YOU WILL BE RESPONSIBLE FOR

  • Compliance & PPM Documentation Management
  • Review and verify all compliance documentation received through Job logic and associated systems, ensuring completeness, accuracy, and adherence to statutory regulations, client requirements, and company procedures.
  • Validate service sheets, certification, inspection reports, photographs, test results, and engineer attendance records to ensure all required evidence has been provided.
  • Ensure all PPM visits are completed within contractual SLA/KPI requirements and escalate any overdue or non-compliant activities.
  • Identify missing documentation, failed inspections, incomplete reports, or non-conformances and coordinate corrective actions with operational teams and subcontractors.
  • Ensure statutory certificates and compliance documentation are correctly stored, indexed, and retrievable for audit purposes.
  • Review engineer and subcontractor recommendations and remedial works arising from PPM visits, statutory inspections, and compliance audits.
  • Raise remedial works through job logic system with clear descriptions, supporting evidence, priority levels, and full audit trails.
  • Monitor remedial actions through to completion, ensuring all follow-on works are closed out within agreed timescales.
  • Escalate high-risk or business-critical compliance failures to the Compliance Manager and Operational management teams.
  • Support the tracking and management of compliance-related quotations, approvals, and completion evidence.
  • Support preparation for client audits, accreditation audits, and regulatory inspections.
  • Maintain and update the risk register by identifying compliance risks, recording findings, and supporting mitigation plans.
  • Ensure accurate record keeping in line with GDPR, ISO standards, and company governance procedures.
  • Support the continuous improvement of compliance policies, procedures, and operational controls.
  • Liaise with engineers, subcontractors, contract managers, clients, and suppliers to obtain and validate compliance information.
  • Provide support and guidance to operational teams regarding compliance requirements and documentation standards.
  • Build effective working relationships with internal departments to ensure smooth coordination of compliance activities.

WHAT WE ARE LOOKING FOR

  • Proven experience within a compliance, FM administration, or document control role within engineering/ facilities management or building services sector.
  • Strong understanding of statutory compliance and planned maintenance within commercial buildings.
  • Experience reviewing PPM documentation, certification, and remedial actions.
  • Familiarity with FM systems such as Job logic, CAFM systems, or similar compliance management platforms.
  • Excellent organisational skills with the ability to manage multiple priorities and deadlines.
  • Strong attention to detail and ability to maintain accurate compliance records.
  • Confident communicator with the ability to engage effectively with engineers, clients, subcontractors, and internal stakeholders.
  • Analytical mindset with the ability to identify issues, investigate root causes, and implement solutions.
  • Strong working knowledge of Microsoft Office, particularly Excel and reporting tools.

Desirable

  • Knowledge of SFG20 standards and statutory maintenance requirements.
  • Understanding of ISO standards including ISO 9001, ISO 14001, and ISO 45001.
  • Experience supporting compliance audits and accreditation processes.
  • IOSH, or compliance-related qualifications would be advantageous.
