About the Position
Reporting to the AVP, Head of Administration & Facilities – Europe, this role leads the day‑to‑day Workplace Services & Operations function in the London office. The role is responsible for ensuring the delivery of high‑quality onsite services, acting as the first point of escalation for operational matters, and supporting health & safety, duty of care, and incident coordination activities.

The role supports and coordinates third‑party service providers (including Front Desk), manages day‑to‑day onsite activities, and works closely with cross‑functional teams to ensure an excellent employee and client experience. It also strengthens local operational resilience by reducing dependency on senior escalation for routine issues and supporting the AVP on key initiatives.

This role is being offered on a Fixed Term basis.

Key Responsibilities

This is a varied and wide-ranging role, with responsibilities including:

  • Coordinating day‑to‑day delivery of London Workplace Services, ensuring smooth, consistent, and high-quality onsite operations

  • Act as first point of contact for local operational escalations and resolve routine service‑related issues

  • Maintain oversight of office readiness, presentation standards, and client‑facing areas

  • Support workplace health & safety compliance across the London office, including incident coordination and follow‑up

  • Assist with ensuring duty of care standards are consistently applied, documented, and communicated

  • Support the delivery of services provided by third‑party partners, including Front Desk, catering, cleaning, porters, and maintenance vendors

  • Coordinate contractor access, permits, and RAMS in line with building and RenRe requirements.

  • Monitor service standards and contribute to continuous improvement initiatives

  • Manage day‑to‑day onsite activities to ensure a seamless and hospitable workplace environment

  • Support office-wide events, client visits, and onsite hospitality

  • Ensure effective communication of services updates to employees

  • Support the AVP with operational aspects of workplace and service-related projects, including space optimisation, technology enhancements, employee experience initiatives, and future workplace changes

  • Provide coordination, cover, and guidance to Front Desk and onsite services staff to ensure adequate operational resilience

  • Contribute to fostering a culture of service excellence across the London Workplace Services function


Working Hours & Flexibility:
Core hours 8.30 – 17.00. Occasional flexibility in working hours or days may be requested during periods of critical maintenance, operational incidents, or business‑critical events. Such requests will be infrequent and planned wherever possible


Candidate Qualifications:

  • Previous experience working in comparable positions, ideally within the Finance & Insurance industry

  • Previous experience in comparable workplace services or facilities roles, ideally within the Finance & Insurance industry (minimum 2 years)

  • Strong working knowledge of Microsoft Office applications

  • Experience coordinating workplace services, facilities maintenance, and third‑party vendors

  • Experience supporting or coordinating onsite events

  • Demonstrated ability to take ownership of operational issues and resolve routine to moderately complex matters with minimal supervision

  • Strong judgment in handling escalations and prioritising tasks across multiple stakeholders

  • Good working knowledge of workplace duty of care, and health & safety requirements

  • Excellent organisational skills with high attention to detail and the ability to plan ahead

  • Strong interpersonal skills with the ability to build effective working relationships across levels and locations

  • Ability to work under pressure, adapt to changing priorities, and deliver against deadlines

  • Collaborative, proactive team player with a strong work ethic, professionalism, and a service‑focused mindset

  • Ability to maintain confidentiality and handle sensitive information appropriately
