POSITION SUMMARY

The Personal Assistant provides administrative and coordination support to the London-based Underwriting business units including Cyber, Risk Advisory, Actuarial & Pricing, and Delegated Underwriting Services Team.

This is an experienced PA role requiring a confident individual who can manage multiple senior stakeholders, operate with a high level of autonomy, and take ownership of a broad range of administrative and coordination activities.

Working closely with the Executive Assistant - Team Lead and partnering with the broader EA/PA community, the PA will manage complex diaries, travel, expenses, and meeting logistics, while playing a key role in delivering team and business events, including large conferences and offsites.

The role will also support wider office initiatives and provide occasional cover across the London admin team.

ROLE RESPONSIBILITIES

  • Manage complex diaries for SVPs and senior managers, coordinating internal and external meetings across multiple stakeholders and time zones

  • Act as a trusted point of contact and gatekeeper for the supported teams, helping to prioritise and manage stakeholder requests effectively

  • Coordinate end-to-end meeting logistics including agendas, materials, room bookings, and follow-up actions

  • Manage business travel arrangements including flights, visas, accommodation, and ground transport for senior stakeholders and wider team members as required

  • Prepare detailed and accurate travel itineraries, ensuring all documentation and approvals are in place

  • Process expense reports accurately and in a timely manner

  • Maintain strong awareness of team priorities and workflows to anticipate needs and support smooth day to day operations

  • Take ownership of team events, including internal sessions, offsites, training activities, and client hospitality

  • Lead coordination of larger scale events such as conferences and multi-team engagements, ensuring a professional and seamless delivery

  • Support London office-wide events including holiday events and cross-functional activities

  • Support the management and distribution of branded merchandise and office materials

  • Partner with EAs, PAs, TA and the Facilities & Administration teams to ensure a high-quality client and employee experience

  • Participate in cross-departmental admin projects and continuous improvement initiatives

  • Provide cover for EAs, PAs, and TA as required, including diary and inbox management

SKILLS, KNOWLEDGE & EXPERIENCE

Essential

  • Minimum 3-5 years’ experience in a PA role within a corporate environment

  • Strong Microsoft Office skills (Outlook, PowerPoint, Excel, Word)

  • Excellent organisation, accuracy, and attention to detail

  • Confident, professional communication and stakeholder management skills

  • Ability to manage multiple stakeholders and prioritise competing demands effectively

  • Proven experience coordinating travel and processing expenses

  • Experience supporting senior managers or leadership teams

  • Strong interpersonal skills and ability to build relationships across all levels and functions

  • Proactive, solutions-oriented approach with the ability to work independently

  • Ability to remain calm under pressure and adapt to changing priorities

  • High level of discretion and ability to handle confidential information appropriately

  • Experience organising team events, offsites, or similar activities

Desirable

  • Experience organising large-scale events or conferences

  • Exposure to financial services, insurance, or a similarly fast-paced environment

  • Experience supporting complex team structures or multiple business unit
