We are currently seeking a Contract Coordinator on an initial 6 month fixed term, full time basis to join our friendly and talented Resources team. If you’re highly organised, proactive, and love to be at the centre of the operation, this is the perfect opportunity for you!

The Role

As a Contract Coordinator, you will play a key role in managing the onboarding process for freelancers across Lion TV, WOF, and Lime Productions. You’ll ensure that all contracts, relevant documentation, and training are provided in a timely and compliant manner, working alongside multiple teams such as production, payroll, HR, and finance. This is a busy, fast‑paced role that requires great communication skills, a high level of organisation, and the ability to process information accurately under pressure. Your attention to detail will be vital in ensuring that all new starter freelancers have the necessary documentation completed for payroll, tax, employment status, and mandatory training.

Key Responsibilities

  • Contract Management: Issue contracts, amendments, and extensions using appropriate templates in line with current freelance contracting processes.
  • Onboarding: Set up new users in the Learning Management System (LMS), track mandatory training for freelancers, and report completion rates to Production Managers to ensure compliance.
  • System Support: Serve as the “super user” for the Etribez contracting system, providing support and first‑line assistance to production staff and users.
  • Documentation: Accurately log documentation in Etribez, including right to work checks, and training statuses.
  • Reporting: Provide weekly reports to production management on starters, leavers, training completions, right to work checks, and onboarding statuses.
  • Cross‑Team Collaboration: Communicate effectively with payroll, production, finance, and HR teams, handling queries and ensuring smooth workflows.

Who We’re Looking For

We’re seeking a Contract Coordinator who is both organised and flexible, with the ability to manage high volumes of tasks while staying calm under pressure. You should be comfortable working independently, while also maintaining strong communication and collaboration with internal teams.

  • Organisation: Ability to manage multiple tasks and priorities, particularly in a time‑sensitive environment.
  • Reliability: Available during working hours to handle last‑minute requests or urgent tasks.
  • Confident Communication: Able to work with both internal teams and external freelancers, keeping everyone informed and managing expectations effectively.
  • Knowledge: A solid understanding of practices for engaging freelancers/new starter processes; brownie points if you have TV industry experience but this is non‑essential. Someone with HR administration and onboarding new starters experience would be a good fit for this role.
  • Initiative: Ability to identify and resolve issues without supervision.
  • Problem‑Solving: Knowing when to elevate issues or ask for support when needed.
  • Tech‑Savvy: Comfortable using IT systems and Microsoft Office applications.
