Overview of the role
The Office Manager is a key member of the school’s administrative team. As the main and first point of contact for the majority of visitors to the school, the position is pivotal in projecting the school's positive, welcoming ethos and values. The Office Manager is expected to demonstrate exemplary customer service and a can‑do approach to both internal and external customers.
Purpose of the job
- Lead and manage all of the administrative staff
- Ensure that key areas of the school performance are operating at optimum levels, including pupil attendance, Single Central Record for visitors and contractors
Duties will include
- Support and oversee administration staff with routine reception and visitor matters, ensuring a welcoming and helpful response and efficient processing of messages and calls
- Follow school policies and procedures for visitors in school
- Use computerised management information systems or paper‑based filing systems to enter records and retrieve data
- Provide administrative support to SLT on confidential or sensitive matters
- Produce lists, letters, information and data as required (e.g., pupils’ data)
- Maintain and populate the school calendar and School Website with information directed by Senior Leaders
- Act as a minute taker for the Senior Leadership Team
- Monitor incoming emails to the school’s admin mailbox and deal with them appropriately
- Support administration staff to chase and follow up outstanding debts owed by parents and report debtors to SLT
- Conduct staff appraisals for those members of staff who are line‑managed by the post holder
- Maintain training records for all school staff and liaise with Senior Leaders and the Head of Professional Development on training needs
- Administer First Aid
- Admissions, leavers and promotion of the school
- Safeguarding and maintain the Single Central Record (SCR)
- School Census and maintenance of pupil information and records
- Overlook educational visits and resources
