About the role: The Clinical team here at LifeArc ensure promising projects continue to progress into approved and accessible treatments and technologies. Our aim is to tackle some of the biggest challenges faced by people living with rare diseases and drug-resistant infections by turning clinical research and data-driven insights into life-changing health technologies. As the Personal Assistant (PA), you will be reporting to our Clinical Leadership Team and will provide administrative support, proactively anticipating needs to ensure the seamless coordination of their daily operations including managing demanding schedules, coordinating national and international travel, and organising meetings and events.

Key responsibilities:
  • Diary management – coordinate and maintain a complex schedule, including booking appointments, meetings, and events across multiple locations. This will also include arranging travel and accommodation for business purposes.
  • Meeting coordination – setting reminders for meetings, appointments and other relevant activities including preparation of meeting agendas and distribution of materials.
  • Arranging conferences, workshops, seminars and other events for internal and external employees.
  • Manage and process expense claims and invoices in a timely and accurate manner, ensuring compliance with internal policies.
  • Assisting with the planning and execution of project administration including multi‑stakeholder meeting and logistics coordination.
Essential experience required:
  • Previous experience as a personal or executive assistant to teams including senior executives, employees and industry partners.
  • Expert proficiency with the Microsoft Office suite including Word, Excel, and Outlook.
  • Experience in project coordination and managing deadlines.
  • Excellent verbal and written communication skills for effective interaction with various stakeholders, clients, colleagues etc.
Education:
  • GCSEs, or equivalent, in Maths and English
  • A Level education or equivalent preferred
