LifeArc is a self-funded medical research charity. Our mission is to advance medical research by helping scientists and organisations turn their discoveries into new ways to improve patients' lives. We are looking for a highly organised Personal Assistant to support our Chief Medical Officer (CMO) and the wider Clinical team.

As a Personal Assistant within the Clinical department, you will provide comprehensive administrative and secretarial support. You will be the primary point of contact for the CMO, managing a complex diary and ensuring the smooth operation of the clinical leadership function.

Key Responsibilities
  • Proactive diary management for the Chief Medical Officer, including scheduling internal and external meetings across multiple time zones.
  • Acting as a gatekeeper, managing correspondence, and prioritising urgent matters.
  • Organising complex travel itineraries, including flights, accommodation, and visas for international conferences.
  • Preparing meeting agendas, taking minutes, and tracking action items for clinical leadership meetings.
  • Assisting with the preparation of presentations, reports, and clinical documentation.
  • Liaising with external stakeholders, including academic partners, healthcare professionals, and regulatory bodies.
  • Processing expenses and managing departmental invoices via internal systems.
  • Supporting the wider Clinical team with ad-hoc administrative tasks and event coordination.
Requirements
  • Proven experience as a Personal Assistant or Executive Assistant, ideally within a clinical, pharmaceutical, or scientific environment.
  • Exceptional organisational skills with the ability to manage multiple competing priorities.
  • Strong communication skills, both written and verbal, with a high level of discretion.
  • Proficiency in Microsoft Office Suite (Outlook, Teams, Word, PowerPoint, and Excel).
  • Experience in coordinating international travel and complex meeting logistics.
  • A proactive approach with the ability to work independently and as part of a team.
