About the Job: We are seeking a dynamic, highly organized, and proactive Executive Assistant to join our Administrative team, supporting four Vice Presidents across our Growth and Location Experiences teams. In this role, you will provide comprehensive executive support, driving efficiency in day-to-day operations and enabling seamless execution across multiple organizations.

This role plays a pivotal part in ensuring our leaders and their organizations operate smoothly and effectively in a distributed environment. Beyond traditional executive support, you will help foster morale, strengthen team connectivity, and contribute to a positive and productive remote culture.

The ideal candidate brings a can-do attitude, exceptional communication skills, and strong multitasking abilities. You are resourceful, adaptable, and thrive in fast-paced environments. You anticipate needs before they arise, exercise sound judgment, and confidently take ownership of challenges to help optimize executive time and drive business impact.

This is a fully remote, permanent position reporting to the Manager, Executive Administration.

What You’ll Do:

  • Provide proactive, high-touch administrative support to four VPs, anticipating needs and optimizing executive time.
  • Own complex calendar management, scheduling, agendas, notes, follow-ups, and action item tracking across multiple time zones.
  • Partner closely with executives and stakeholders to ensure clear communication, preparation, and execution of key updates and priorities.
  • Act as a culture ambassador, helping foster connection, morale, and engagement in a fully remote environment.
  • Coordinate strategy offsites, team events, and company activities.
  • Manage domestic and international travel, expenses, and budget-related support.
  • Lead projects and special initiatives in support of organizational goals.
  • Build strong relationships with internal partners, external stakeholders, and the broader EA team.
  • Handle a fast-paced, changing environment with sound judgment, urgency, and discretion.

What We’re Looking For:

  • 3–5 years of experience supporting senior leaders in fast-paced, high-growth environments.
  • Proven ability to manage multiple executives, shifting priorities, and complex calendars.
  • Highly organized, proactive, and detail-oriented with strong judgment and discretion.
  • Excellent written and verbal communication skills.
  • Strong collaborator with the ability to work effectively across teams and time zones.
  • Comfortable operating independently in a fully remote environment.
  • “Get-it-done” mindset with the ability to anticipate change and move quickly.
  • Experience working with other Executive Assistants and cross-functional partners.
  • Proficiency with modern productivity tools (Google Workspace, Slack, Confluence, Expensify, etc.).
