The Office Manager is part of our Human Resources Team and is responsible for the day-to-day operations of our Office. Our environment is based on activity-based working, creating a dynamic place to work and adopting a flexible approach for all employees. Our Office Manager needs to be proactive, forward-thinking, and an engaged individual that can work effectively with different teams in different environments.

Minimum Qualifications & Experience

  • Minimum of Associate’s and/or bachelor’s degree.
  • Proven experience as an Office Manager, Front Office Manager, or Administrative/Executive Assistant working with leadership/executive team.
  • Strong interpersonal skills and ability to build trust and respect with stakeholders and office team members.
  • Proficient in Microsoft Office – intermediate level and ability to learn & use new technology systems quickly.

Responsibilities

  • Ensuring the daily maintenance of meeting rooms, office rooms, and office-based technology.
  • Building/Vendor Management & coordinate overall office management and maintain staff recreational areas, Mail & Courier management.
  • Point of contact for visitors and office guests.
  • Coordinate office and team building social activities (Office Social Chair).
  • Assist with various HR processes: onboarding, offboarding, and leave management.
  • Serve as an on-site resource for employees, supporting HR initiatives and ensuring compliance with office policies and procedures.
  • Provide administrative support to stakeholders and management as required.
  • Coordinating meetings & training sessions.
  • Assist with coordination of business-related travel and expense reports.
  • Provide IT support as needed.
  • Diary Management for the executive team.
  • Coordination of travel and meeting arrangements for senior executives.
  • Organization of events.
  • Compilation of PowerPoint presentations.
  • Stakeholder Management.
