We are seeking to recruit an enthusiastic, reliable, highly motivated administrator with excellent customer care skills to join our existing team of administration staff. You will be responsible for working within a busy department, working together as a team to help patients, support the doctors and extended multidisciplinary team.

Main duties of the job:

  • Process incoming and outgoing mail according to established protocols.
  • Code medical records appropriately.
  • File and store records as required.
  • Photocopy documentation as required.
  • Process changes to patient registration, deduction of record and new patient registration.
  • Summarise patients notes, as and when needed.
  • Input data into the patients healthcare records as necessary.
  • Communicate effectively with patients, via text message, telephone and letter.
  • Administer On-line Access.
  • Deal with the administration of Summary Access Requests (SARs).
  • Deal with the administration of patient death notifications.
  • Deal with the administration of private work.
  • Processing cytology administration.
  • General administration tasks including minute taking.
  • Secretarial skills, including typing dictations and creating referral letters.
  • Be competent on the ERS system.
  • Take part in the Practice Appraisal process at least once annually or as required.
  • Be up to date with all mandatory training.
  • Attend Practice meetings as deemed necessary.
  • Any other reasonable duties that may be required from time-to-time.

About us:

We are a large forward-thinking practice with more than 17,000 patients, based in a purpose-built building in the centre of Chorley. We have regular practice meetings, with a structured meeting rota including whole staff meetings, clinical meetings, safeguarding meetings and protected time for training. We have a multidisciplinary clinical team made up of 6 GP Partners, 5 Salaried GPs and 4 Advanced Nurse Practitioners, who are supported by a wider team of Paramedics, Pharmacists, First Contact Physios, a range of specialised Nurses and Health Care Assistants. We are a training practice and have a number of junior doctors working at site, including FY2s, ST2s and ST3s. The practice benefits from a well-structured management team which is led by a Practice Business Manager. Person Specification:

  • Previous experience working within a GP surgery, NHS setting or healthcare environment.
  • Good understanding of GP practice processes and procedures.
  • Excellent communication and customer service skills, both face-to-face and over the telephone.
  • Professional, compassionate and courteous manner at all times.
  • Ability to work effectively within a busy and demanding GP practice environment.
  • Experience of handling confidential and sensitive patient information appropriately.
  • Good organisational skills with the ability to prioritise workload and multitask effectively.
  • Experience of undertaking a wide range of administrative duties, including data entry, document management and patient correspondence.
  • Good IT skills, including Microsoft Office and clinical systems.
  • Ability to work as part of a team and independently when required.
  • Flexible approach to working patterns and duties undertaken.
  • Good standard of secondary education, including English and Maths.
  • Ability to work a minimum of 30 hours over 5 days per week.
  • Experience of using EMIS Web clinical system.
  • Experience of coding and summarising medical records.
  • Knowledge and experience of NHS registration processes and patient record management.
  • Experience of administering online patient access and Summary Access Requests (SARs).
  • Experience of secretarial duties, including audio typing, referrals and minute taking.
  • Experience of using the NHS e-Referral Service (e-RS/ERS).
  • Understanding of cytology administration and private work processes.
  • Willingness to undertake further training and development as required.
