The opportunity

We are recruiting an experienced, operationally minded Operational / Executive Assistant to support an entrepreneurial Founder across a portfolio of businesses, investments and personal interests, with a particular focus on jewellery and luxury goods.

We are looking for someone who has supported a Founder or senior principal within the jewellery or luxury goods sector and brings hands-on experience of keeping day-to-day business operations running smoothly.

This is a trusted position combining executive support with practical operational responsibility. Alongside managing the Founder’s diary, communications and travel, you will co-ordinate suppliers and external partners, track commercial priorities and ensure actions are followed through to completion.

Working closely with the Founder and senior team, you will bring structure to a fast-moving environment where priorities can change quickly. You will need to anticipate requirements, exercise sound judgement and resolve issues independently, while maintaining the discretion, attention to detail and service standards expected within the luxury sector.

What you’ll be doing

  • Full support in running the business
  • Managing a complex and frequently changing calendar across business and personal commitments
  • Co-ordinating meetings across international time zones and preparing relevant briefings
  • Acting as a first point of contact for emails, calls and messages, assessing what needs the Founder’s attention and what can be handled independently
  • Arranging domestic and international travel, including detailed itineraries and last-minute changes
  • Supporting day-to-day operations across the Founder’s jewellery and luxury goods interests
  • Liaising with suppliers, workshops, luxury brands, logistics providers and other external partners, as relevant to the businesses
  • Tracking orders, deliveries, deadlines and outstanding actions, escalating issues where necessary
  • Co-ordinating appointments, viewings, client meetings and industry events
  • Maintaining accurate records and documentation relating to purchases, orders, invoices and high-value items
  • Following agreed procedures for the secure handling, movement and delivery of valuable goods
  • Working with senior colleagues, advisers and business partners to keep projects and commercial priorities moving
  • Preparing correspondence, presentations, briefing notes and other documents
  • Handling a varied mixture of business and personal administration with discretion
  • Improving administrative processes and operational workflows to create greater efficiency

What we’re looking for

  • Direct experience within jewellery or luxury goods, combining executive support with hands-on operational co-ordination
  • Experience managing supplier relationships, tracking orders or deliveries, and following through on business priorities
  • An understanding of the care, accuracy, confidentiality and service standards required when working with high-value products and discerning clients
  • Experience in a fast-paced, entrepreneurial or founder-led environment
  • Exceptional organisation and the ability to manage competing executive and operational priorities
  • The confidence to make decisions within your remit, use initiative and keep matters moving independently
  • Excellent written and verbal communication skills, with a professional approach to clients, suppliers and senior contacts
  • Strong judgement, emotional intelligence and close attention to detail
  • A calm, practical approach when plans change or pressure increases
  • Complete discretion when handling confidential business and personal matters
  • Confidence using modern workplace technology, spreadsheets and digital communication tools
  • Flexibility to travel occasionally when required
  • The right to work in the UK

An important point about responsiveness

Occasionally, genuinely time-sensitive matters will arise outside standard working hours. Reliable responsiveness in those situations is essential and will be discussed openly during the interview process.

This role will suit someone who understands the realities of supporting an active Founder and is comfortable balancing flexibility with good judgement.
